SUMMARY The Corporate Customer Service Rep. / Admin. Assistant is a key member of the corporate office. They will work closely with the Sr. Manager of Administration, and the position also provides a wide variety of administrative and staff support services that may include working with the Executive Team and various departments. In addition to typing, filing and scheduling, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
RESPONSIBILITIES AND DUTIES include the following:
- Answers phones and takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other departments to cover phones.
- Responds to regularly occurring requests through customer service pages on various websites.
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail.
- Drafts written responses or replies by phone or e-mail when necessary.
- Acts as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects.

SUPERVISORY RESPONSIBILITY: This position has no supervisory responsibilities.
WORK ENVIRONMENT: This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL DEMANDS: This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
TRAVEL: No travel is expected for this position.
QUALIFICATIONS :
- High school diploma.
- 2 years of customer service and administrative experience.
- Advanced proficiency in Microsoft Office & Teams
- Strong written and verbal communication skills as well as customer service skills
- Strong ability to work independently with minimal instruction and supervision
- Excellent time management and prioritization skills
- Proactive individual with high level of initiative and follow-through.
