Job Overview:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide support to ensure efficient operation in our office environment.
Responsibilities:
- Manage and coordinate office activities and operations to secure efficiency and compliance with company policies
- Act as a liaison between administration and floor staff. Organize office operations and procedures to ensure flow of communication among staff. Assist with caregiver onboarding, coordinate and communicate with healthcare professionals to ensure the best possible patient care.
- Maintain office clean and organized. Maintain staff and clients' files organized. - Schedule home visits, review clients' referrals and, maintain electronic and Hardcopy files -Prepare training classroom for upcoming training. Prepare client invoices, send and collect charges as needed.
- Initiate welcome call to greet new clients and schedule home visit -Produce and distribute correspondence memos, letters, faxes, and forms - Ensure all documents are received for every patient and uploaded into wellsky -Track weekly patients who have had hospitalization by establishing contact with case managers at hospital and subacute rehabilitation facilities to obtain updates on patients statuses and anticipated D/C dates
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies, run office errands as needed and, research new deals & suppliers
- Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Perform receptionist duties, and weekly sales call as needed. -Assist administrator with other tasks as directed
Qualifications:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills - Ability to work independently and effectively multitask including proper telephone etiquette, face-to-face interactions, and electronic communications. - Ability to handle difficult situations, remain calm under stress, manage emotional situations, display empathy and, maintain positive communication. - Demonstrate a friendly attitude, display energy and drive in performing daily responsibilities
Preferred Skills:
- Experience in a dental office or as a dental receptionist
- Ability to transcribe documents accurately
- Project coordination skills
- Knowledge of phone systems for effective communication
- Strong organizational skills for managing multiple tasks efficiently
- Proofreading abilities for maintaining accurate documentation
- Customer service experience for interacting with clients - CNA, HHA, Caregiving experience - HighSchool Diploma or Associate degree
Job Type: Part-time
Pay: $15.00 - $16.00 per hour
