VCCP US is Hiring an Executive Assistant / New Biz Support Near New York, NY

THE BIG PICTURE:

The VCCP Partnership is an integrated communications agency set up in 2002 by Charles (V), Rooney (C), Adrian (C) and Ian (P), who founded the agency on the principles of simplicity, collaboration, un-preciousness and integration around ideas rather than channels. Their founding client was BT Cellnet, now more commonly known as O2 and the most awarded brand in IPA effectiveness history.Since then, the agency has grown to have offices all over the world. In the US we are made up of two locations, New York and San Francisco, with clients based all around the country.

Across the Partnership, we work with a broad spectrum of clients from O2 and CompareTheMarket to easyJet, Paddy Power, Dominos and Cadbury. Our work transcends the marketing mix, leading everything from social media or launch campaigns to DM and web build.We also provide very senior strategic planning for clients, customer journey mapping and helping clients to envision their future business, beyond just communications.

ABOUT THE ROLE:

This is a very important role at the agency. This role provides administrative support, in our fast-paced, team-focused environment, for four key members of the VCCP US Leadership team. You will support members of leadership by always thinking 3 steps ahead, prepping them for the upcoming week, and being the frontline by exercising judgement, prioritizing complex schedules and tasks accordingly, and having a grasp on agency projects and priorities to set the tone and focus. Additionally, this role will support the Head of New Business as needed, taking notes, attending prep meetings, researching, and overall preparing the team and the office for new business pitches.

Responsibilities include but are not limited to:

  • Coordinate complex scheduling and ensure a smooth flow of calendars
    • Checking calendars multiple times a day to ensure the smooth running of the calendar, proactively identify and resolve scheduling conflicts
    • Having a grasp on agency projects and priorities to set prioritization during regular calendar catchups, respectively
  • Ability to see around the corner and take a proactive approach to identify and solve potential challenges related to scheduling, travel, and other daily activities before they arise
    • Ensure leaders are aware of meeting times and locations in advance
    • Notify them when meetings are running over and conflicting with other appointments and notify meeting attendees of delays as necessary
  • Organize meetings - this might be simply booking the meeting, but could also involve booking rooms, catering, identifying & reserving offsite venues, preparing agendas, and supporting documents, welcoming guests, and attending as a notetaker
  • Coordinate and manage travel arrangements and travel-related activities for leaders.
    • Proactively finding travel options, presented in one concise place
    • Troubleshooting when issues arise, which may occur outside of usual business hours.
  • Manage, submit, and reconcile expense reports promptly
  • Respond to texts emails and requests in a timely fashion, including outside of standard work hours when appropriate
  • Maintain professionalism and strict confidentiality with all materials and tasks, exercising discretion when interfacing with others
  • Working with EAs across the network to align with Global Leadership as required
    • These relationships will also help with travel recommendations
  • New Business/Pitch assistance
    • Assisting with desk research, room dressing, sourcing of materials
    • Support team on RFI/Creds responses
    • Creating competitor analysis
    • Support with updating PR calendar
  • Partner with and support the Office Manager (if/when needed) sometimes may include but is not limited to managing office supplies inventory, set-up for large meetings, maintaining office equipment, and ensuring the office environment is clean, organized, and safe
  • Organize and manage organization-wide events, such as trainings, luncheons, or special events
  • Assist with ad-hoc projects and provide support to management as needed

Skills & Experience:

  • Proactive: provides high-touch executive-level support; acting autonomously and with minimal direction on daily work
  • Discretion: as work is generally of a critical or confidential nature
  • Critical thinking: the ability to solve problems independently through strong partnerships with business partners across the globe;
  • Agile: thrives in a dynamic environment with a high degree of ambiguity
  • Detail-oriented: anticipates challenges and responds timely and appropriately
  • Highly professional: excellent verbal and written communication skills, to communicate and build partnerships with all levels of management, respond to clients, and treat all with genuine kindness and care
  • Proficient: Strong Microsoft Office and Apple/Mac knowledge and skills are a must
  • Organized: strong time management, prioritization, and project management skills
  • Precise: maintain accurate information when handling multiple high-priority projects simultaneously
  • Located in commutable distance (tri-state area) to our NYC office and willing to work in-office Monday - Thursday, Flexible Friday
