The Sr. Administrative Assistant provides general administrative support to the Commercial Strategy, Marketing, and Diagnostics department, supporting all Senior Directors and above within the function. The Sr. Administrative Assistant ensures leadership’s productivity is enhanced by managing calendar and scheduling priorities, serves as a valued member of the team, and develops relationships cross-functionally to support the team engagements and activities. Additionally, this role oversees administrative assignments and fosters/maintains strong working relationships within the team and with outside vendors and contacts. Primary Responsibilities Include: Provide daily support to the Vice President, Commercial Strategy, Marketing, and Diagnostics, and Executive & Sr. Directors primarily within the Commercial Strategy, Marketing, and Diagnostics function: Manage complex schedules with thoughtfulness and advance planning Coordinate meetings with internal & external participants within the Cambridge office or other locations; address all necessary details for successful outcomes Plan domestic and international travel in close collaboration with service providers, using discretion, sound judgment, cost analysis, and thoroughness; proactively troubleshoot and addresses travel conflicts when needed (including after core business hours) Complete and submit expenses, tracking their progress and timely processing Provide support for larger department including registration for conferences, scheduling and creating agenda for department and leadership team meetings, etc. Assist with on-boarding new members of the department Provide general onsite administrative support to executives; this includes coverage for Cambridge based administrative needs outside of the Commercial Strategy, Marketing, and Diagnostics department. Leverage strong MS Office skills to provide robust presentation, document, and spreadsheet support Facilitate contract and vendor setup and processing support for the department Provide finance and budget support by submitting requests for purchase orders, monitoring incoming invoices for processing and payment, track invoices through the payment process, and providing information to the finance department Proactively look for ways to make processes more efficient Support leaders in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, calm, resourceful, and efficient Exhibit a positive attitude to build relationships crucial to the success of the organization, including superb, collaborative working relationships across the organization Act as integral member of Administrative team; participate in team initiatives, collaborate with other support staff, and provide back-up support to other Admins, as needed Perform special projects and other related duties as assigned Desired Education and Skills: Associate’s or Bachelor’s degree and experience in a pharmaceutical or bio-tech company preferred 3 years of successful experience as an Administrative Assistant or higher providing support to Sr. Directors, VP levels, and/or above Excellent organizational skills including strong attention to detail and accuracy, the ability to prioritize and organize multiple projects, meet deadlines, problem-solve and multi-task Committed to completing tasks with a high degree of quality, attention to detail and consistent communication in a demanding, fast-paced environment High level of commitment and attention to detail with forward-thinking capabilities; ability to anticipate needs and potential obstacles Ability to work independently, anticipate next steps and exercise discretion and confidentiality Ability to effectively prioritize competing requests and switch focus as needed Strong work ethic and an entrepreneurial spirit to accommodate responsibility and priorities Knowledge of Microsoft Office suite (Outlook, Excel, Word, PowerPoint); experience with Workday and Concur preferred Ability to work with minimal supervision and support leaders that work in other locations Ability to maintain a high level of professionalism and confidentiality in working with members of the leadership team as well as with all employees and customers Superior written, proofing, and verbal communication skills, excellent interpersonal skills This position requires work on site at one of Sarepta’s facilities in the United States.
