Job Responsibilities and Functions (Accounting)Generate daily ACH batch files for upload to our banksDeposits of checks through the check readers for our banksRecord receipts and ensure matching between bank statement, cash subledger and general ledgerSet up wires and ACH payments on bank websites for contract fundings and general payablesRecord these transactions correctly in the cash subledger and the general ledgerDaily review and reconciliation of bank balance and cash subledger balance for US and CanadaMonthly reconciliation of bank, cash subledger and general ledger balances for US and CanadaAssemble monthly updates to currency rates reportReview existence of necessary exchange rates and input of floating interest ratesOther duties as assigned by the Accounting staff Job Responsibilities and Functions (Administrative)Responsible for all office duties, including ordering supplies, ensuring all office space maintenance/repair issues are dealt with on a timely basis, administering all communications to necessary parties (mail, courier, fax, telephone, cell phones)Authorized person on cell service Business plan accountAdminister centralized office services (FedEx, office supplies, etc)A wide range of duties related to travel arrangements and coordination for our bi-annual meeting in Germany and for visitors from Germany who are either attending conferences, trade fairs or visiting the Chicago officePrimary phone contact for Chicago office, receiving and screening all in-coming phone callsOrientation and induction for on-boarding new employees as well as off-boarding of departing employeesManagement of the vacation schedules/spreadsheet for tracking purposes to include forwarding information to HR third party resource. Communication with employees about vacation day status and request form management. Manage annual holiday scheduleAdministrator to the corporate expense reporting tool, CertifyResponsible for all physical access issues such as IDs, keys and coordination with building managementOrganize staff meetings/office events to include sending information emails to entire staffOther duties as assigned by the Managing Directors
