UIC is Hiring an Office Manager - Office of the Chancellor Near Chicago, IL

The Office Manager serves as the first point of contact for the 28th floor and the Office of the Chancellor, providing overall clerical and office management support. Additionally, the role oversees routine facilities management issues for the 26th-28th floors of University Hall, and acts as the primary point of contact for the main phone line and email inbox.
Duties & Responsibilities: 
Front Desk Operations

  • Serves as the initial point of contact for both phone calls and office visitors, demonstrating a proactive approach in greeting and directing guests. Skillfully triages complaints and sensitive matters to ensure swift resolution by assigning them to the appropriate staff person or unit, while providing well-informed and consistent responses to all inquiries. Maintains a polished and organized environment. Proactively follows up with campus constituents as needed, ensuring effective communication, and addressing any additional inquiries promptly and professionally.

Office Management

  • Manages a robust office inventory tracking supplies, and equipment within the office. Ensures accurate monitoring and control over all office resources including office vehicle usage and service logs. Additionally, coordinates billing for office needs, such as copy and shred services. Oversees all aspects of floor facilities, ensuring a well-maintained, organized, and efficient environment. Manages maintenance requests, security, and cleanliness to enhance the functionality of the workspace

Conference Rooms and Events

  • Maintains the conference room reservation system and requests. Coordinates with necessary parties including IT, Facilities Management, Catering, UIC Police, and event planners on meeting needs. Troubleshoots with various offices, as necessary.

Clerical Support

  • Supports the management and organization of electronic and paper file systems, ensuring accessibility and confidentiality are always upheld. Updates and manages the internal and external constituent database. Tracks, compiles, updates, and prepares the distribution of confidential information, such as Board of Trustees materials. Assists in scheduling and coordinating logistical aspects of committee meetings, town halls/hearings, press conferences, and events.

Data Management

  • Become proficient in the use of numerous database, spreadsheet and web-based applications including various registration, email, and seating software programs. Learn other systems, as required.

Purchasing and Reporting

  • Assists with office-related purchases, reimbursements, reconciliations, travel/conference registration, and property accounting

Special Projects

  • Perform other related duties and participate in special projects as assigned.
