We are looking for a competent Administrative Assistant to help with the organization and running of the daily operations of the center. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multifaceted role.
Responsibilities Include:
Regularly communicates with COO, Clinical Director, and all employees
Regularly accepts feedback in positive manner
Maintaining a friendly demeanor and providing exceptional customer service to clients and staff in person, on the phone and via email
Keeping an organized workspace, including cleaning, managing center repairs, office-related malfunctions such as printers & troubleshooting any other office issues
Daily opening and closing checklist
Check mail, voicemail, and email daily
Perform receptionist duties, answer front doors, assist with drop off and pickup
Coordinate and assist staff with any clerical needs they may have
Maintain trusting relationships with employees, vendors, clients and parents/ guardians
Tracking employee attendance, PTO requests, and missed shift clock-in/outs
Assisting Clinical Director, or BCBA, with schedule changes in data collection software
Daily check of therapist notes, data, and conversion of sessions in data collection software
Managing center specific Therapist calendar and Google calendars including scheduling appointments, inputting staff PTO/Wellness time, and monthly events
Communicating with parents/ legal guardians for event notification, post-event photos, confirmation of appointments and any absent, late drop-off or early pick-up notices
Managing inventory and ordering of supplies for center, neatly put away supplies
Running errands as needed for events and supplies
New employee and client checklist completion, including creating files, updating forms and systems, and assigning equipment
Setup, decorating and conducting monthly employee celebrations and other employee / center events
Completion of tasks in an agreed upon, timely manner
Qualifications
Bachelor's degree or proven experience as an office assistant, receptionist or in another administrative role
Strong interpersonal, customer service and communication skills
Ability to multitask
Proficient in Microsoft Office suite & Google suites
Working knowledge of office equipment (phones, computers, printers, fax, scan)
Thorough understanding of office management procedures
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills
