Multifamily Resources Supply is Hiring an Administrative Assistant Near Savannah, GA

Job description

Multifamily Resources Supply is a project contractor and supplier headquartered in Savannah, GA with a distribution facility in Athens. We are looking for an experienced candidate to join our team to assist the Director of Operations with daily processes including accounting and logistics coordination in our Savannah office.

Responsibilities include but not limited to:

Administrative/Accounting:

  • Accounts Payable – review for accuracy, approve and process for payment all purchases and credit card expenses
  • Accounts Receivable – review and manage monthly, maintain client information
  • Reconcile bank accounts and credit card statements on a monthly basis
  • Maintain and organize both physical and digital files
  • Perform additional administrative duties as requested

Logistics Coordination:

  • Assists in coordinating the shipment and distribution of all supplies and materials including job site deliveries. Help customers resolve shipment issues when they arise
  • Communicate shipment schedules with vendors, customers, subcontractors and third-party service providers
  • Inspect incoming packing lists and outgoing shipments, verify their rates and accuracy of records
  • Monitor and manage inventory levels, maintain shipment paperwork and records
  • Interact daily with internal and external customers to deliver exceptional customer service and provide on-time delivery of materials
  • Assist with bids or proposals as needed. Including sending bid invitations to vendors and subcontractors, gathering pricing, specifications, and related documents to prepare work for estimation.
  • Follow up on bid invitations through email and phone calls
  • Assists in formulating cost breakdowns from estimates, compile data in Excel
  • Prepare product submittal books
  • Assists in providing clear and detailed quantity take-offs
  • Assists with keeping plans and specifications up-to-date
  • Prepare and submit purchase orders
  • Perform other work-related duties as directed

The ideal candidate would be a professional self-starter with excellent written and verbal communication skills. A background in accounting, construction, or logistics would be ideal but not required.

  • Strong organizational skills with the ability to multitask
  • Ability to work independently as well as in a team environment
  • Maintain positive working relationships
  • The ability to represent MFRS in a professional manner while maintaining confidentiality
  • Experience with QuickBooks preferred
  • Proficiency in MS Office (MS Word and Excel in particular) preferred

Job Type: Full-time

Pay: $21.00 - $23.00 per hour

Expected hours: 40 per week
