Administrative Assistant Job Summary
The Administrative Assistant will provide administrative and clerical support to the organization, ensuring efficient operation of the office and program activities. The ideal candidate will be detail-oriented, organized, and able to handle multiple tasks simultaneously. They will also have excellent communication skills and a strong ability to work in a team environment.
Qualifications
· High school diploma or equivalent; associate's degree preferred
· Proven experience as an administrative assistant or relevant role
· Proficiency in Microsoft Office Suite and Google Suite
· Strong organizational and time management skills
· Excellent verbal and written communication skills
· Ability to work independently and as part of a team
· Experience in a nonprofit or social services environment a plus
Administrative Assistant Duties and Responsibilities
· Route incoming voicemails, messages, and emails to appropriate team members
· Greet and assist visitors in the office
· Maintain electronic filing system
· Schedule and coordinate meetings, appointments, and travel arrangements
· Prepare correspondence, documentation, or presentation materials
· Assist in the preparation of regularly scheduled reports
· Maintain inventory of items
· Process and sort incoming mail
· Provide support to the staff with printing, filing, and organizing materials.
· Log receipts of checks and prepare deposits
· Assist in event planning
· Order and maintain office supplies
· Provide general support to program staff as needed
· Assist in the coordination of special events or projects
· Complete additional tasks as assigned by the Executive Director
Supports the Executive Director in engaging the Board of Directors
Calendar invites, reminders, lunch orders, meeting materials, etc.

· Much of the work in this position is completed while sitting at a desk and using a computer and phone. It requires talking, hearing, and visual acuity to perform these primary functions.
· Includes traveling to various locations and facilities throughout the county and navigating mobility within various environments. Must have a driver’s license.
· Occasionally, it includes reaching above shoulder height or below the waist or lifting to 25 pounds for office equipment, supplies, and materials.

A full-time position includes a wellness stipend, IRA match, vision, dental, life, and disability insurance, and generous paid time off. A part-time position includes IRA match, vision, dental, and generous paid time off. The hourly rate is $16 to $20, contingent upon experience and education.
