We are in search of a highly organized and proactive Executive Assistant to support the senior leadership of our rapidly growing defense technology startup. The Executive Assistant will play a critical role in managing administrative tasks, coordinating schedules, and ensuring the smooth and efficient operation of our executive offices.
Key Responsibilities:
Administrative Support:
Handle a wide range of administrative tasks, including managing calendars, scheduling meetings, and organizing travel arrangements.
Communication:
Act as the point of contact between executives and internal teams as well as external stakeholders.
Document Management:
Prepare, edit, and distribute internal and external documents, presentations, and reports.
Meeting Coordination:
Arrange and facilitate meetings, including setting agendas, taking minutes, and ensuring follow-up actions are executed.
Resource Allocation:
Oversee office supplies, IT needs, and other resources to support executive activities.
Confidentiality:
Handle sensitive information with the highest level of confidentiality and discretion.
Time Management:
Assist executives in prioritizing tasks, meeting deadlines, and maintaining a balanced workload.
Special Projects:
Assist in the planning and execution of special projects and events as needed.
Qualifications:
Minimum of 5 years of experience in an Executive Assistant role, preferably in a startup or fast-paced environment.
Proficient in MS Office Suite or similar software.
Exceptional organizational and multitasking skills.
Strong written and verbal communication abilities.
High level of professionalism and discretion.
Preferred Qualifications:
Experience in a defense or technology startup.
Knowledge of project management tools.
Bachelor’s degree in Business Administration or related field.

The ideal candidate will be a detail-oriented, self-starter who can adapt to a fast-changing environment. Strong interpersonal skills, a proactive approach, and the ability to work independently are key traits for this role.

Actual salary offers may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations.
