Ibero American Action League is Hiring a Human Resources Assistant Near Rochester, NY

Description

Summary:

Under the supervision of the Human Resources Manager the Human Resources Assistant provides administrative support to the department, administers human resource procedures, attends to the needs of individual employees, and assists the Human Resources Team in their duties.

Essential Functions:

  • Provide excellent customer service to all internal/external customers. 
  • Provide administrative support to the Human Resources team, to include recruitment, onboarding, mail retrieval/distribution, answering phones, and letter generating. Generating all communication to new and existing staff regarding training requirements, and assisting all new and current staff with questions they may have about training.
  • Maintains employee training records in accordance with agency guidelines. Creating and managing documents and conducting research inquiries.
  • Maintains employee personnel files, term files and ensures all required documentation is filed appropriately and in a timely fashion. 
  •  Conduct the pre-employment background process with newly hired employees.
  •  Maintain New Hire & Pre-employment packets.
  •  Assist in conducting the new hire orientation for new employees.
  • Serve as a liaison to training providers in partnership with the Chief Administrative Officer.
  • Creates new hire and pre-employment packets.
  • Support the on-boarding process and handle new hire paperwork as needed.
  • Assist in conducting the new hire orientation for new employees as needed. 
  • Perform data entry of new hire information and employee changes. 
  • Greet and escort newly hired and/or current employees upon arriving to their orientation/training sessions.
  • Attend seminars and recruitment events as necessary to maintain skills and knowledge required for human resources. 
  • Perform other duties as assigned by Supervisor.

Physical Demands:

The position does require occasional standing, squatting, lifting of up to approximately 20 lbs. and frequent sitting.

Requirements

  • High School diploma required, or a related field preferred.
  • One years of related experience in human resources functions or a similar capacity required.
  • Administrative support experience required.
  • Knowledge of Paylocity HRIS/Payroll system or equivalent preferred but not required.
  • Must have intermediate to advanced PC skills (MS Office Suite, MS Teams). 
  • Bilingual (English/Spanish) preferred but not required. 
  • A combination of training and experience other than specified, if judged to be adequate for the job, may be considered by the President & CEO.
