Job Title: Office Administrator with Accounting/Bookkeeping experience

Starting salary 45k – 55k

Position Overview:

We are looking for a versatile individual who can handle both accounting duties and office administrative tasks effectively. The ideal candidate will have a strong understanding of accounting principles, exceptional organizational skills, and the ability to multitask in a great culture environment providing work life balance. This position offers the opportunity to contribute to both financial management and overall office operations.

Key Responsibilities:

1. Accounting:

- Manage accounts payable and receivable processes, including invoice processing, payment scheduling, and reconciliation.

- Prepare and maintain accurate financial records, including general ledger entries, bank reconciliations, and financial statements.

- Assist in budget preparation and monitoring to ensure financial health and compliance with company policies.

- Conduct periodic audits to ensure accuracy and compliance with regulatory requirements.

- Collaborate with external auditors and tax professionals during audits and tax filings.

2. Execute Office Administration

- Oversee daily office operations, including answering phones, responding to emails, and handling correspondence.

- Maintain office supplies inventory and order supplies as needed to ensure smooth operations.

- Coordinate meetings, appointments, and travel arrangements for staff members when required.

- Assist in HR functions such as maintaining employee records, processing payroll, and administering benefits.

- Manage filing systems, both electronic and physical, ensuring efficient document storage and retrieval.

- Assist and participate in office events and miscellaneous task.

- Proficient in Google Docs, Microsoft Office Suite

- Must be willing to adapt to applications such as Slack, Monday.com

- Bilingual is great but not necessarily

Qualifications:

- Associates Degree in Accounting, Finance, Business Administration, or related field is preferred but not necessary if ample experience is provided.

- Proven experience in accounting and/or office administration roles.

- Proficiency in accounting software QuickBooks.

- Strong analytical skills and attention to detail.

- Excellent communication and interpersonal abilities.

- Ability to prioritize tasks and manage time effectively.

- Knowledge of relevant legal regulations and compliance requirements.

- Certification such as CPA or relevant professional accreditation is a plus.
