Administrative Assistant to Owner

Responsibilities - Sales Support:

  • Serve as backup for answering the phone. Assist at the front counter as needed.
  • Understand the sales process enough to consult with customers to determine project needs. Participate in the practice of “Everybody Sells”. Constantly be looking for sales opportunities.
  • Assist the sales team as needed (i.e., contacting customers when orders are ready, labeling and mailing marketing materials, follow up on estimates, delivering orders when necessary, and making competitive shopping calls, etc.)
  • Perform daily reconciliation.
  • Review the awaiting customer action queue in Point of Sale System (Corebridge) updating sub statuses daily.
  • Review estimate queue to ensure estimates are followed up on and completed in desired time. Assist sales team with follow up calls for estimates or status of orders.
  • Track the age of estimates weekly and the conversion of estimates monthly and document for Owner. Produce various reports for owner.
  • Manage owner’s calendar scheduling site visits, sales calls, etc.
  • Manage Click 2 Sell program. Manage and distribute leads to sales team, manage and input new contacts into system, and manage campaigns.
  • Ensure all installation photos are in the correct folder.

Responsibilities - Accounting and Administrative:

  • Payroll - timecard reconciliation
  • Accounts Payable - preparation of purchase orders and invoices for payment.
  • Accounts Receivable - Call aging report customers, send invoices, make bank runs, and post checks.
  • Copy and file documents as needed (vendor invoices, customer invoices, insurance documents, permitting records, etc.)
  • Assist owner with progressive migration to full Corebridge implementation (paperless workflow, customer portal, etc.)
  • Assist in ensuring accuracy of the POS client database with correct information, emails, credit limits, etc.
  • Assist owner as needed (i.e., securing permits, minor project management, estimate follow up, and customer service needs).
  • Assist with purchasing of substrates, production and office supplies.
  • As part of team will assist in maintaining shop appearance by vacuuming, emptying trash, cleaning counters, and windows, straightening showroom, update in-store merchandising and keep neat.

Job Type: Full-time

Pay: $19.00 - $20.00 per hour

Expected hours: 40 per week
