Glencroft Center For Modern Aging is Hiring an Administrative Assistant - Towers (HUD Housing) Near Glendale, AZ

Job Description

JOB SUMMARY

Under general supervision of the Director of HUD Housing, performs a full range of duties including representing the office whenever and wherever necessary. Assists the Director of HUD Housing in contacts with staff, other employee related matters, residents, vendors, contractors and the general public. Ensures a well organized office, generally aiding in the maintenance of a harmonious work environment in the Director of HUD Housing's office. Must be able to perform routine clerical and administrative duties (This will include preparing documents, maintaining and/or organizing files). Must be able to fluently communicate in or to take or give direction or guidance in the English language.

PRIMARY ACCOUNTABILITY

A thorough knowledge of the practices and procedures in the use and function of administrative assistant principles. Strong written and oral communication skills. Effective in establishing and maintaining rapport with staff, residents, outside vendors, and clients. The Towers Administrative Assistant will possess a genuine interest in and concern for geriatric, chronically ill, and/or disabled persons. Will be responsible in assuring that files and documents are maintained in an organized and correct manner.

ESSENTIAL FUNCTIONS

  • Regular attendance is considered an essential function of this position and is necessary for the efficient operation of the business.
  • Serves as an ambassador of goodwill to all potential and current residents and staff.
  • Answers and screens, as requested, all telephone calls in a courteous and professional manner.
  • Arranges meetings/conferences, schedules appointments/interviews, and maintains the personal schedule as requested by the Director of HUD Housing.
  • Greets all visitors in a friendly, courteous and professional manner, provides information and guidance.
  • Provides assistance to the Director of HUD Housing by performing the functions normally associated within an organized harmonious office setting.
  • Facilitates the interaction of the staff with the Director of HUD Housing in coordinating meetings, reports, and a variety of other matters.
  • Creates, builds, and maintains an accurate and efficient filing system for the department.
  • Assists with the development of projects which enhance the image of the organization, such as a resource center, special programs and certain printed materials.
  • Compiles and types statistical reports.
  • Accurately records minutes of all staff meetings and resident meetings that are conducted with staff.
  • Receives and processes mail for staff. Accepts all incoming packages.
  • Receives meal requests and absentee information daily. Maintains seating charts and delivery requests
  • Maintains office/resident keys.
  • Maintains and updates logs of all emergency phone numbers. Keeps log at front desk.
  • Receives rent/other charges and issues receipts to residents.
  • Accepts monies for sale of activity tickets, stamps, cards, tokens, etc. Records all monies received.
  • Maintains and updates Towers resident roster listings by name and unit which includes current telephone numbers, car make/model and license number. Keeps log at front desk.
  • Copies campus menus for Towers, Villa, and Assisted Living.
  • Creates and maintains slides necessary for all information displayed on Glencroft’s informational channel.
  • Writes and distributes monthly newsletter for Towers building residents and staff.
  • Performs routine clerical and administrative duties (This will include preparing documents, maintaining
  • and/or organizing files).
  • Performs other duties as may be assigned.
