Midwestern University is Hiring a Sr. Administrative Assistant- AZ- Biomedical Sciences Near Glendale, AZ

Summary

The Sr. Administrative Assistant in the Biomedical Sciences (BMS) Program provides administrative support to the faculty, staff, adjuncts, and students of the department. The position reports directly to the Administrative Coordinator of Biomedical Sciences.

Essential Duties and Responsibilities

* Greet and assist BMS students and visitors when they enter our program suite

* Accurately monitor and track budgetary expenses

* Order office and research supplies and equipment

* Work with faculty to create quarterly academic block schedules

* Maintain content on Canvas

* Schedule classrooms, testing center times, and labs for student courses

* Update and maintain office and student files (i.e. track student academic progress, course registrations, and program transfers)

* Maintain confidential student records (e.g., student grades, enrollment reports, leaves of absence, and withdrawals)

* Maintain and analyze program data as requested

* Respond to admissions inquiries as needed

* Prepare adjunct faculty and teaching assistant contracts

* Create MWU expense reports and check requests as needed

* Maintain faculty calendars

* Establish/maintain Standard Operating Procedures (SOP's) for all processes handled by this position

* Assist with special program events and projects as necessary

* Special projects and other duties as assigned

Education and/or Experience

High school diploma or GED equivalent is required. Must have 3-5 years of administrative support experience. Experience working in a team and customer-oriented environment with strong written and verbal communication skills. Bachelor's degree preferred.

Computer Skills

Computer proficiency in MS Office Suite (Word, Excel, Outlook) required. Knowledge of Canvas or other digital learning platforms desired.

Language Skills

Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

Intermediate skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables in standardized situations.
