Comfort Keepers is Hiring an Administrative Assistant Near Brentwood, TN

Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to multitask effectively. As an Administrative Assistant, you will provide support to various departments within the organization and ensure the smooth operation of daily administrative tasks.

Job Summary:

The Administrative Assistant is a vital member of our organization, as a hybrid position you will be providing scheduling, HR and administrative support to ensure the efficient and effective operation of our office.

Responsibilities & Duties:

1. Recruitment Support

a. Assist in the recruitment process by posting job openings on job boards and company website

b. Screen resumes and applications to identify qualified candidates

c. Coordinate interviews and communicate with candidates to schedule interviews and follow-up.

d. Assist with reference checks and background screenings.

e. Assist in preparation of HR-related documents

- Perform general administrative tasks such as answering phone calls, responding to emails, and managing calendars
- Coordinate and schedule meetings, appointments, and travel arrangements
- Prepare and distribute correspondence, memos, reports, and presentations
- Maintain accurate records and files both electronically and in hard copy
- Assist with event planning and coordination
- Handle order entry and maintain inventory records
- Proofread documents for accuracy and completeness
- Transcribe meeting minutes and other relevant information
- Greet visitors and direct them to the appropriate department or individual
- Provide administrative support to various departments as needed

2. Scheduling Support

a. Schedules shifts and hours by matching caregiver skills and availability to client’s needs.

b. Communicates new assignments and/or schedule changes to caregivers and clients.

3. On-Call Support

a. Provide on-call support for scheduling, client, caregiver and urgent matters outside of regular business hours.

b. Address any work-related injuries and advise of next actions.

4. Administrative Support:

a. Assist in daily office operations, including answering phone calls, responding to emails and handling correspondence.

b. Maintain and organize physical and electronic files and records

c. Maintain confidentiality of sensitive information.

d. Assist colleagues with ad-hoc task and projects as needed.

e. Monitor and reorder office supplies.

Knowledge, Skills, Abilities:

a. Excellent computer skills.

b. Excellent oral and written communication.

c. Excellent interpersonal and coaching skills.

d. Evidence of the practice of a high level of confidentiality.

e. Excellent organizational skills.

f. Motivates, develops, and directs people as they work, identifying the best people for the job.

Working Environment:

a. Standard office environment.

b. Occasional overtime may be required to meet deadlines or complete special projects.

Position Physical Demands:

Walking, sitting, and standing with lifting limited to files and records typically not expected to exceed 5 pounds in weight. Extended time at a computer work screen and on the telephone.

Qualifications:
- High school diploma or equivalent required; associate's degree preferred
- Proven experience in an administrative role or similar position
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to work independently as well as part of a team
- Previous experience in event planning is a plus
- Knowledge of dental receptionist duties is a plus
