ArtCenter College of Design is searching for an experienced Administrative Assistant, Development to join our team.
The salary range for this position: $38,000.00 - 42,000.00

Finalsalary is based on education, experience, skills relevant to therole, and internal equity.

Foundedin 1930 and located in Pasadena, California, ArtCenter College of Design is a globalleader in art and design education and has had an international reputation forits rigorous, transdisciplinary curriculum, faculty of professionals, strongties to industry, and commitment to socially responsible design. ArtCenter is aprivate nonprofit fully accredited by the WASC Senior College and UniversityCommission (WSCUC).

Every positionat ArtCenter plays an important part in carrying out the values, goals,strategic vision, and mission of the College. This includes diversity,equity, inclusion, access, belonging (DEIAB) and culture.

Reporting to the Senior VP of Development (SVP), the Administrative Assistant serves as an executive assistant to the SVP and provides general day-to-day administrative support for the Development department. This position is the front-line inter-face for alumni, donors, and guests to the department.

This is a full-time in-region position. Normal work schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m. The position is eligible for flexible scheduling and can be performed hybrid with the expectation of at least 3 days in the office required as a condition of employment. The college reserves the right to modify schedules as needed to meet the business needs with appropriate notice. Maybe required to work nights and weekends to staff department events.

Essential Functions

Administrative support — 70%

  • Provide administrative and clerical support to the department including processing of incoming mail and delivered packages, photocopying, filing and communicating messages, ordering office supplies, and answering questions from occasional walk-ins.
  • Coordinate and manage calendars for the SVP and other senior staff in the department; these can include in-person meetings, online video meetings, and/or hybrid meetings. Coordinate related resources such as room reservations, written agendas, parking arrangements, refreshments, etc., as needed. Attend meetings when needed, take notes, and assist with follow-up tasks.
  • Assist with coordinating department purchasing and expenses, process purchase orders and check requisitions, wire transfers, faculty payment forms, student stipend forms, food service forms etc.
  • Greet alumni, donors and other visitors and answer incoming telephone calls and emails requesting assistance or information about the department or programs.

Development Support — 20%

  • Look up alumni/donor information in the Raiser’s Edge database, with light occasional data entry.
  • Provide administrative support for events, including managing event RSVPs and general event coordination; work evening and weekend events as necessary
  • Assist SVP, frontline fundraisers, and database staff in monitoring and proofing donor records in the Raiser’s Edge database; ensure that record-keeping and reporting is accurate, thorough and timely
  • Assist with donor stewardship tasks such as routing greeting cards for signatures, proofing acknowledgments and donor listings

Other duties — 10%

  • Assist Development staff and units with special projects
  • Other duties as assigned
Required Qualifications:
  • Associate Degree and at least two years of experience in an office administrative environment or equivalent combination of training and experience
  • Detail-oriented with strong organizational, multi-tasking and prioritizing skills, and the ability to follow through on projects to completion in a fast-paced office
  • Strong verbal and written communication skills and proofreading skills
  • Professional demeanor, with strong commitment to customer service excellence and to building positive relationships with internal and external constituents
  • Strong interpersonal skills with the ability to work collaboratively as part of a diverse and collegial Development team, and with senior administrators, faculty, staff, students, alumni, donors and volunteers
  • Strong computer skills with proficiency in Zoom and MS Office Suite (Outlook, Word, Excel and PowerPoint) and Adobe Acrobat
  • Ability to work occasional evenings and weekends to staff events
  • A commitment to DEIAB and culture, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business

Preferred Qualifications

  • Bachelor’s degree from an accredited college or institution
  • Experience in higher education
  • Experience working special events with VIP guests

Physical Demands and Working Environment

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: The position is performed in an office setting. Employee is stationary most of the time but may move around the office environment for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard. Ability to travel between campuses and to offsite locations. Regular and consistent attendance are required for most positions.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
