The Accounts Payable clerk will work directly with the AP Supervisor to ensure that all AFM expenses are paid in an accurate and timely manner. They will assist in all functions of the AP process including W-9/1099, AP entry, checks and ACH processes, account resolution and reconciliations for certain expense accounts. Good communication and teamwork skills in working with both internal and external customers are an essential requirement for this position.
Principal Duties and Responsibilities
- Review of AP requests for coding accuracy, required signatures and back up.
- Resolution of all issues in a timely manner prior to payment
- Entering payables into Accounting system and preparing report for weekly check run
- Processing weekly check run / ACH and Positive pay uploads, copies, filing.
- Reconciliations for Phone and Cell Phone Corporate accounts.
- Review and Notification for Sales and use tax issues.
- Maintenance of Contractor Escrow database when payments are made.
- Review of employee expense sheets for proper back up and signatures for payment
- Preparation of Monthly Tax schedules spreadsheets for Insurance, Rents and Office Equipment Leases; Correcting Journal entries as needed.
- Assists with 1099 process at year-end.
- Assist with Miscellaneous Special Projects for Accounting Team
Minimum Qualifications:
- Associate degree or several years AP background preferred.
- Excellent written and verbal communication skills
- Attention to details and deadlines.
- Working knowledge of MS Excel and MS Word
