Alcoholic Beverage Control is Hiring an Administrative Assistant 1 Near New York, NY

Current New York State employee with permanent, contingent-permanent or 55b/c service as an Administrative Assistant 1 and interested in reassignment; OR current New York State employee with one year or more of permanent, contingent-permanent or 55b/c service in a position allocated to a Grade 6 and eligible for transfer under Section 70.1 of the Civil Service Law.
Candidates must demonstrate adequate keyboarding skills by prior service in a keyboarding title OR successful completion of a Keyboard Specialist performance test.
  • Successful completion of the two-year traineeship leads to appointment as an Administrative Assistant 1, SG-11.

Duties Description
  • Assist General Counsel and attorneys as needed.
  • Communication, coordination, organization and records maintenance within Counsel’s Office.
  • Provide office coverage, answer the main line, transferring calls to the appropriate person in Legal or another appropriate department.
  • Review and process all incoming correspondence, prepare draft responses where appropriate and review outgoing correspondence from the General Counsel and attorneys.
  • Coordinate information flow by acting as liaison between key executives, staff and public as applicable.
  • Scan documents relating to a case before distributing to staff.
  • Create charts, tables, and forms commonly used by attorneys.
  • Schedule interviews and contact references for potential new employees, coordinate with Agency HR results of interviews and submission of required reporting.
  • Handle incoming telephone calls, general inquiry emails, and respond to questions.
  • Make travel arrangements for management staff, and act as proxy for submission of expense vouchers as needed.
  • Coordinate, schedule and attend meetings, record meeting minutes and disseminate those minutes to appropriate supervisors and staff.
  • Prepare and coordinate documents for hearings and assist visitors upon request.
  • May establish schedules and keep track of daily work of other admin staff.
  • Other duties as assigned.

NOTE ON TELECOMMUTING: ABC/SLA Employees are required to apply and obtain approval through management to telecommute according to ABC/SLA Telecommuting Pilot Program Guidelines.
NOTE ON COVID-19 VACCINATION/WEEKLY TESTING: All State employees in Executive controlled agencies who are not subject to a mandatory vaccination requirement shall be tested for COVID-19 weekly unless they are fully vaccinated.
Position is eligible for location pay of $3,026.
