  • Greeting Patients: Welcome patients as they arrive at the dental office, ensuring they sign in and updating their records as necessary in Open Dental.
  • Appointment Scheduling: Manage the appointment book using Open Dental, scheduling patient appointments, and confirming upcoming appointments via phone, email, or text.
  • Patient Registration: Collect patient information, including personal details, insurance information, and medical history, and input it accurately into the Open Dental system.
  • Insurance Verification: Verify patients' insurance coverage, including eligibility, benefits, and pre-authorizations, utilizing Open Dental's insurance modules.
  • Billing and Payment Processing: Handle billing inquiries, process payments, and generate invoices using Open Dental's billing features.
  • Maintaining Patient Records: Ensure all patient records are accurately entered and updated in Open Dental, including treatment plans, notes, and communications.
  • Answering Phone Calls and Emails: Respond to patient inquiries, schedule appointments, and handle general inquiries about the dental practice, often using Open Dental to access patient information.
  • Managing Office Correspondence: Handle incoming and outgoing mail, faxes, and emails, including coordinating referrals and communicating with other healthcare providers.
  • Inventory Management: Assist with maintaining inventory levels of dental supplies and equipment, and updating inventory records in Open Dental.
  • Assisting with Administrative Tasks: Provide administrative support to dentists and other staff members, such as preparing patient charts, organizing files, and managing office supplies.
  • Patient Communication: Communicate with patients regarding appointment reminders, follow-ups, and treatment plans, utilizing Open Dental's communication tools.
  • Maintaining Cleanliness and Organization: Ensure the reception area is clean and organized, and assist with maintaining a tidy office environment.
  • Handling Emergencies: Assist in managing dental emergencies, including contacting patients and coordinating urgent appointments, if necessary, using Open Dental to access patient records promptly.
  • Continuing Education: Stay updated on dental terminology, procedures, and insurance regulations to effectively assist patients and provide accurate information.
  • Collaborating with Dental Team: Work closely with dentists, hygienists, and dental assistants to ensure smooth patient flow and provide excellent customer service.

These duties may vary slightly depending on the specific needs of the dental practice and the responsibilities assigned to the receptionist role. However, proficiency in Open Dental software is often essential for efficiently managing patient information and office operations.
