TSG construction is Hiring a Front Desk Receptionist/Office Assistant Near Jacksonville, FL

Job description

Family-owned construction firm is seeking a mature, energetic professional for an active and busy office as a Secretary or Office/Admin Assistant. Must have excellent phone skills, etiquette, and easy rapport when dealing with clients. Self-starter, motivated to excel in all aspects of office functionality. You will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.

Responsibilities

  • Develop and maintain a filing system, first and foremost importance
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Answer phone calls and redirect them when necessary
  • Prepare and distribute correspondence, memos, and forms
  • File and update contact information of employees, customers, suppliers, and external partners
  • Support and facilitate the completion of regular reports
  • Check frequently the levels of office supplies and place appropriate orders
  • Document expenses and hand in reports
  • Undertake occasional receptionist duties, travel arrangements, etc.
  • Follow systems in place and assist with updates

Skills

  • Proven work experience as a secretary or administrative/office assistant.
  • Proficiency in MS Office (Outlook, Word, Excel, SharePoint, etc.)
  • Strong attention to detail and ability to prioritize responsibilities and retain accuracy
  • Demonstrated ability to handle sensitive information and maintain confidentiality
  • Ability to work independently, yet collaboratively, according to goals of the organization
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • High school diploma and/or some college preferred

Job Type: Full-time

Pay: $30,000.00 - $37,000.00 per year
