About Us:

Totally Joined For Achieving Collaborative Techniques (TJFACT) is a CVE verified Service Disabled Veteran Owned Small Business (SDVOSB) performance driven professional services government contracting company that provides a broad spectrum of services and solutions to the U.S government agencies and organizations.

About the position:

TJFACT is seeking to hire a Program Support Specialist to join our team in support of our DOS INL/KM/TAD client in Washington, DC.

The contractor will report to his/her contracting company. The contracting company works most closely with the INL Contracting Officer (CO) and Contracting Officer’s Representative (COR). The Specialist will receive direction from the INL/KM/TAD on-site supervisor, and shall maintain open, timely, and effective communications, resulting in a relationship that proactively addresses potential problems with flexible, workable solutions.

Duties and Responsibilities:

Travel

  • Schedules and arranges all travel for members of INL/KM/TAD’s staff and the KM Office Director, tracks the travel of all these persons, prepares and submits vouchers in E2 Solutions, maintains travel profiles on all team members, and ensures the timely submission of all receipts and other required travel documents. Duties also include preparation of country clearances, visa and passport applications, tracking of visa applications, including pick up and drop off at foreign embassies.
  • Collects and tracks data to respond to travel-related taskings from INL/EX or the Department.
  • Stays current on travel regulations, policies and procedures.

Research/Analysis

  • Conducts research into countries of interest and analyzes this information for trends and important developments, including major incidents or reforms. Prepares this information into reports as requested.
  • Researches and drafts desk studies for TAD subject matter experts in preparation for assessments, evaluations and other engagements.
  • Tracks world events and disseminates relevant news and information to TAD subject matter experts, team leaders, and the division director on a weekly basis.
  • Makes careful and exhaustive searches for information difficult to obtain, compiles data, and makes preliminary analysis for the supervisor or other staff officers as appropriate.

Office Management and Program Support

  • Prepares and submits all time and attendance for the TAD staff, including maintaining files of time sheets, leave requests, cuff records for compensatory time for travel, emergency contact lists, etc.
  • Prepares and processes Ariba actions for the office.
  • Provides administrative support to the KM Office Director, including scheduling meetings and appointments, tracking documents submitted to the Director for action, and processing correspondence.
  • Maintains tracking charts of all reports due from INL/KM/TAD advisors, U.S. partners, and other reports when applicable, including sending timely reminders to producers of such documents.
  • Tracks all TAD team taskers received, including those in the SharePoint Sites for INL.
  • Proofreads TAD SME reports prior to submission to the TAD team leaders for structure, grammar, and presentation as requested.
  • Distributes and tracks distribution of all INL/KM/TAD reports to relevant offices, bureaus and embassies.
  • Schedules meetings, appointments, and conferences in accordance with team leader(s) instructions. Reminds others of scheduled events to ensure prompt and timely attendance.
  • Establishes and maintains office records of various types that may be needed or will assist in the efficient operation of the office. Ensures files have all pertinent documents and signatures. Maintains and updates file system accurately to enable quick and efficient retrieval of information. Purges files or performs other file disposition actions accurately and in accordance with established procedures. Supervises or performs annual file inventory effectively. Where appropriate, manages accurate receipt, control, logging, safekeeping, and necessary action on all classified material received.
  • Enhances the ability of the office to support overall mission requirements through performance of one or more of the following:

o Use database or spreadsheet software to accurately enter, revise, sort, calculate, and retrieve data for standard reports

o Use graphics software to provide graphic symbols, charts, and graphs for viewgraphs or paper presentations; or

o Use document scanning hardware and online document management software (e.g. Microsoft SharePoint) for document management, archiving, data tagging, and retrieval.

o Transmit and receive documents and messages electronically accurately and promptly using a PC or a workstation.

o Ensure all new employees have paperwork submitted to get log-ons and mobile devices.

Outreach Support

  • Receives requests for information concerning INL/ programs. From available background data, assembles requested information or follow up to remind staff members to submit required answers within the specified time.
  • Composes correspondence as directed, such as thank you letters, acceptance of invitations, invitation letters, etc.
  • Schedules large meetings, conferences, and INL/TAD internal training sessions, including reserving the appropriate venues. Selects time and location, notifies participants, ensures all required materials and services are provided in a timely manner, attends the meetings and takes notes, and prepares reports of the proceedings.
  • Assembles and tracks taskers for books for trips, conferences, etc.

Required Qualifications:

  • S. Citizenship.
  • A Bachelor’s degree from an accredited institution.
  • Zero (0) to two (2) years’ experience in relevant field.
  • Demonstrated ability to work on projects and issues within overall policy guidelines.
  • Demonstrated skilled in oral and written communication, sufficient to draft action and info memos, congressional testimony, press guidance and congressional and general correspondence.
  • Knowledge of international narcotics and law enforcement issues.

Preferred Qualifications:

  • Ability to establish and maintain effective relationships.
  • Ability to provide excellent customer service.
  • Skill and ability in managing multiple concurrent activities of varying complexity, including changing priorities and short turn-around times.
  • Proficiency in computer and web-based applications including Microsoft Office suite and Adobe Acrobat.
