The Ohio State Wexner Medical Center is committed to enhancing the quality of care provided to patients through teaching, research and patient care. The activities of the Facilities Operations and Development Wexner Medical Center District support a 24 hour a day, 7 day a week operation. The administrative assistant 4 provides direct support to FOD Operations Medical Center District directors and employees. Maintains calendars, schedules meetings, and maintains office equipment. Prepares and distributes presentations, reports, charts, meeting minutes, and correspondence. Processes confidential and/or sensitive inquiries from customers, administrators, and staff. Processes purchase and travel requests. Tracks FOD Operations Medical Center District expenditures against budget allocations. Coordinates FOD Operations Medical Center District recognition events.
This position may supervise other administrative support staff and/or students to ensure accurate, consistent, and efficient operations. Assists other FOD Operations areas when required. Represents FOD Operations on committees and in meetings. Performs other related duties as assigned.
This position primarily works on first shift, but is subject to changes in shift, hours, days, and/or location as operations dictate. In accordance with the Disaster Preparedness and University State of Emergency Policy 6.17 this position has been designated as an essential position. Requires successful completion of a background check.
Minimum Qualifications
High school diploma. Four years of relevant experience required. Proficiency with Microsoft 365 software programs such as Word, Excel, Visio, and PowerPoint. Excellent verbal and written communication skills with sensitivity to customer relations; proficiency in researching, analyzing and interpreting information; demonstrated proficiency in managing multiple priorities and developing various reports from data sources.
Desired Qualifications:
Six to eight years of administrative or operational experience; excellent organizational skills; ability to work independently and multi-task; ability to handle sensitive inquiries from customers and administrators; knowledge of accounting principles and budget/fiscal applications; supervision experience; knowledge of university policies, rules, and regulations.
