The Administrative Assistant to the Senior Director of External Affairs and Strategic Partnerships plays a vital role in supporting the mission and work of The King Center. In this position, you will have the unique opportunity to work closely with our Senior Director and contribute to the organization's social justice, equity, and peace goals. As the right-hand person to the Senior Director, you will assist in managing external relationships, organizing strategic initiatives, and ensuring the efficient operation of the office.
Requirements
Key Responsibilities:
Receptionist Duties
· Provide front-desk coverage by managing a busy, multiline phone system
· Greet and provide polite and professional assistance to guests, associates, partners, donors, etc.
· Screen phone calls and route callers to the appropriate party
· Manage incoming/outgoing mail and shipments received at the front-desk
· Maintain an organized, clean front-desk environment.
Administrative Support
· Provide high-level administrative support to the Senior Director, including managing calendars, scheduling meetings, preparing agendas, talking points, taking notes, and handling correspondence.
· Prepare and proofread documents, reports, and presentations for the Senior Director.
· Anticipate the needs of the Senior Director to ensure a seamless, positive, and efficient office workflow.
· Maintain organized electronic and physical filing systems for important documents, contact database, employee list, and inventory.
· Liaise with staff and team members to handle requests and queries for the Senior Director
· Handle sensitive information in a confidential manner
· Maintain up-to-date clerical and administrative processes, office policies, and procedures
Communication and Outreach
· Serve as a liaison between the Senior Director and external stakeholders, partners, and donors.
· Assist the Senior Director in drafting, editing, and disseminating communications in collaboration with MARCOM (Marketing and Communications Department) and the Special Events Team (SET) including press releases, newsletters, and social media updates.
· Help coordinate and promote events, conferences, and strategic partnerships.
Research and Data Management
· Conduct research on potential partners, donors, and relevant industry trends.
· Compile data and reports to support the Senior Director's decision-making process.
Facility Usage and Event Coordination
· Oversee and manage facility rental inquiries and requests. Coordinate logistics for external meetings, conferences, and events, requests including scheduling, venue coordination, catering, and technical support.
Budget and Expense Management
· Assist in tracking and managing budgets related to the Senior Director's activities.
· Prepare and monitor invoices
· Process expense reports and ensure adherence to financial procedures.
Qualifications:
· Bachelor's degree or equivalent work experience
· Strong organizational and time management skills
· Ability to interact with all staff levels and high-profile external relationships.
· Excellent written and verbal communication skills
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
· Ability to work independently, prioritize tasks, and carefully handle confidential information.
