Under general supervision, the Administrative Assistant serves as the initial point of contact for visitors to the office and callers on the telephone.Duties include responding to all forms of inquiries from the public and assisting the Executive Assistant in performance of the Executive Assistant’s administrative functions including, but not limited to, general filing and copying, typing correspondence, maintaining calendars and other general administrative tasks.Attends training as required.The Administrative Assistant also performs other job-related duties as assigned.
ESSENTIAL FUNCTIONS
·Acts as a good communicator and relates to others in a pleasant and outgoing manner.
·Greets office visitors and clients; ascertains the nature of their business and provides appropriate information or directs visitors to other personnel.
·Receives, screens and directs incoming phone calls and emails from internal and external customers.Responsible for voice message system.Responds to inquiries, questions, or requests.
·Receives, processes, and distributes incoming mail for agency.Responsible for sending packages via FedEx, UPS, and USPS.
·Initiates, composes, types, edits, proofreads, and distributes correspondence, memos, and forms.
·Prepares, assembles, processes and/or generates reports and other documentation.
·Maintains organized filing systems.
·Provides administrative support through such activities as scheduling and coordinating meetings.
·Assists the manager in organizing and executing routine activities and special projects.
·Must work assigned days and hours.
·Stays within departmental budget.
MINIMUM QUALIFICATIONS
Associate degree from an accredited college or university or two years of related experience.
PREFERRED QUALIFICATIONS
·Experience working in State Government.
