Summary
This Administrative Assistant position supports all administrative tasks required to maintain a smooth and correct administrative operation ensuring compliance with the stakeholders. Works directly with the Country Manager.
Role and Responsibilities
· Ensure the correct execution of financial and accounting reports in coordination with the Bookkeeper to be delivered on time to the Responsible.
· Oversee everything related to compliance with the authorities such as having permits, licenses, FDA, taxes, and insurance up to date.
· Support the correct management of HR processes such as coordinating schedules, reviewing worked hours, making payroll payments (QuickBooks), and coordinating permits, days off, etc. Follow a calendar of holidays (Mother’s Day, Father’s Day, anniversaries, Christmas, etc.) to purchase gifts and coordinate team events. Lead the creation and execution of the employee performance process.
· Support the hiring process by making job postings, making screening calls, and coordinating interviews with the hiring manager.
· Support in the creation of policies, manuals, and processes of the company in coordination with the other divisions.
· Add receipts to QuickBooks (Requested by Manager/CM).
· Reconciles invoices, payments, and receivables into Quickbooks.
· Stocks and orders supplies for the office (inventory and stocking). Coordinate with different vendors to ensure the correct operation of the office (Cleaning, repairs, recurrent payments, etc.)
· Support in coordinating as needed with external advisors to solve questions, schedule meetings, and other requirements (Lawyers, Accountants, medical advisors, etc.).
· Performs any other administrative support tasks.
Qualifications and Education Requirements
Clerical experience. College or University education.
Microsoft Office (Excel, Word, PowerPoint)
Ability to use time productively, maximize efficiency, and meet challenging work goals.
Ability to maintain compliance with all company policies and procedures.
Great Communication and teamwork skills to coordinate and work with other divisions.
Spanish
Preferred Skills
Ability to navigate current technological tools (Apps, Web-based programs, email) Knowledge and experience with Quickbooks preferred
Bilingual Spanish needed.
Preferred soft Skills

Physical requirements/Work Environment
Office/warehouse environment, sitting, standing occasional lifting up to 30 pounds
