The McGregor Clinic, Inc. is Hiring a Medical Administrative Assistant Near Fort Myers, FL

SUMMARY: The Medical Administrative Assistant is responsible for providing administrative support to the medical department. In this role he or she will be assisting the medical team by providing assistance with medical records management, including releasing medical records following HIPAA Guidelines, as well as scanning, Efiling, Efaxing, and other general misc. medical office duties.

SUPERVISION RECEIVED:Reports to Director of Clinical Services

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Include the following (other duties may be assigned):

  • Prepares and processes incoming and outgoing Medical Record requests until completion; ensuring HIPAA guidelines are followed and that releases are signed properly and in accordance with The McGregor Clinic policies and procedures.
  • Obtains and scans medical records received for new patients into the EMR.
  • Monitors fax queues and distributes patient records to the appropriate section within the EMR and responds to fax requests according to McGregor Policy and Procedures.[SG1]
  • Files office notes, referral notes, hospital records, and other physician records in the patient’s electronic chart.
  • Performs clerical duties such as photocopying and outgoing faxing for the Medical Department.
  • Helps patients in distress by responding to emergencies and notifying the appropriate staff.
  • Enters patient data and services into the CAREWare reporting system
  • Completes Document processing (copying, collating, mailing, etc.) as needed
  • Coordinates and processes Provider Peer Review evaluations.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Completes other duties as assigned by Supervisor as needed.

SKILLS/EXPERIENCE:

  • Knowledge of HIPAA Rules and Regulations.
  • Knowledge and proficient use of computer programs (Microsoft Office, Windows 10, Practice Management/EMR Software).
  • Knowledge of basic medical insurance
  • Proficient in medical terminology
  • Comfortable in collaborating with healthcare professionals
  • Knowledge of medical office procedures.
  • Ability to operate a computer and basic office equipment.
  • Ability to operate a multi-line telephone system.
  • Skill in answering a telephone in a pleasant and helpful manner.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Must be well organized and detail oriented.
  • Must be able to work in a fast-paced environment.

EDUCATION: High School Diploma or GED Required. At least 2 years’ experience with medical records processing.

ENVIRONMENTAL WORKING CONDITIONS:Normal medical office environment. Occasional overtime may be required and/or hours may be shortened as business needs dictate.

PHYSICAL DEMANDS:Requires sitting and standing associated with a normal office environment. Some lifting required for file boxes. Manual dexterity is needed for using a calculator and computer keyboard. Ability to lift up to 15 lbs.
