Flexible hours and remote work are available.
NOTE: This position will operate in a hybrid work setting, with the requirement to come into the office at least three (3) times per week, and as needed.
The Department of Enterprise Services (DES) provides centralized business services to state government agencies; to other public entities such as cities, counties and tribes; and to Washington residents. About the Finance Division
The Finance Division provides accounting and budget services to DES and 40 smaller state agencies. The divisions mission is to deliver comprehensive financial management services and support to our customers so they can make informed business decisions and achieve financial health goals. What You Will Be Doing:
In this key role, you will provide exemplary administrative support to the Finance Division, aiding in the mission of strengthening government for a sustainable and just future. You will work under the general supervision of the MA4, supporting both internal and external financial customers, including 40 small agencies. Your responsibilities will include performing complex administrative support projects and financial assignments, all while maintaining confidentiality. Duties

Some of What You Will Enjoy Doing:

  • Prepare and mail documents to agencies, customers, and vendors.
  • Note-taking, action item tracking, meeting scheduling, and workshop logistics for DES Finance staff and 40 Small Agencies.
  • Coordinate travel arrangements for finance staff and division managers.
  • Schedule financial review meetings with workgroups, small agencies, and finance staff.
  • Assist staff with understanding and interpreting documents for proper handling.
  • Perform complex word processing tasks and maintain records using spreadsheet and database software.
  • Coordinate interviews, new employee paperwork, and logistics for division meetings and events.
  • Manage procurement of supplies and equipment, ensuring compliance with purchasing rules.
  • Review billings, financial records for accuracy and compliance; explain necessary actions for compliance.
  • Serve as the liaison between the Agency Records Officer (ARO)/DES Records Manager and business groups for records management activities, maintaining an up-to-date records inventory and submitting annual records inventories.
  • Coordinate and prepare records for audits, fiscal year-end, and monthly disposition, ensuring compliance with retention policies and notifying the ARO of any records needing to be held for legal reasons.
  • Provide administrative support for training and meetings, including acting as LinkedIn Learning administrator, division training coordinator, and attending SAFS workgroup and DES Team Results meetings for cross-divisional coordination.
  • Other duties as assigned.

Qualifications

Required Qualifications

  • High School Graduate or GED.
  • Three (3) years of progressively responsible experience in office, secretarial, or general administrative work.
  • NOTE: Formal education may substitute the required experience, year-for-year.
  • Experience with Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook at the intermediate level.
  • Basic working knowledge of accounting terminology and concepts.
  • Experience with file management (electronic and paper).
  • Efficient and effective communication skills.
  • Self-motivated individual with a positive work ethic.
  • Excellent time management skills and ability to independently and collaboratively organize and prioritize tasks to meet internal and external deadlines.
  • Ability to provide high standard of professionalism and customer service to internal and external customers.
  • Ability to communicate effectively and professionally in writing and through speaking to a variety of audiences.
  • Ability to perform under pressure and handle a high-volume workload while maintaining a positive attitude.
  • Work effectively both independently and as a team member.
  • Ability to plan and coordinate administrative support for meetings, trainings, and workshops, including pre-planning, implementation, and post-event evaluation.
  • Ability to interact positively with the public.
  • Ability to create, draft, proofread, and edit documents accurately and under time constraints.
  • Commitment to maintaining confidentiality of information.
  • Knowledge of State government organization and administrative procedures.
  • Knowledge of office methods and procedures.
