History, Mission and Services

St. Vincent de Paul Society was founded in Paris in 1833 by Frederic Ozanam. Blessed Frederick Ozanam was inspired to serve the poor by the work of St. Vincent de Paul, and made it his mission to help the poor and to “accomplish through charity what justice alone cannot do.”

St. Vincent de Paul-San Francisco (SVDP-SF) began services in 1860 when members of local churches began distributing food, clothing, and medicine to the poor and homeless. For the past 164 years SVDP-SF has provided food, shelter, and support services for those most in need.

St. Vincent de Paul Society of San Francisco operates the Multi-Service Center - Northern California’s largest homeless shelter, Navigation Centers for chronically homeless individuals and couples and the Riley Center - Domestic Violence shelter and services for survivors. Job Summary: 

The Executive Assistant is a critical member of the Administration Office Team that supports St. Vincent de Paul San Francisco (SVDP-SF) in its efforts to provide emergency and transitional housing to homeless individuals and victims of domestic violence. Primary responsibilities are to provide ongoing administrative support to the Executive Director, Senior Leadership Team, and the Board of Directors. The position requires advanced organizational skills, attention to detail, sensitivity to confidential matters, excellent communication and interpersonal skills, computer skills, copying editing, and the ability to gracefully manage multiple competing priorities. This is a full-time, non-exempt, non-union position.

Work Schedule: Full-time, Monday to Friday on site, with occasional evenings and weekends as required

Salary and Benefit Overview:

The salary rangeis $77,000 to $85,000 annually DOE.Kaiser HMO plan with no premium cost through 6/30/24. Voluntary dental, vision, and life insurance plans. 403b retirement plan with employer-paid match. Ten vacation days, ten sick days, two floating holidays and twelve and a half holidays accrued/offered each year. Additional vacation time, and other days off, are accrued from the beginning of the second year of continuous employment, through the fourth year of employment earning 20 vacation days. Employee Assistance Program and $2500 annual tuition reimbursement program..

 Essential Functions

  • Support the Executive Director with thorough, accurate, and reliable schedule management, contact management, and meeting set-up.
  • Code and submit reimbursement requests and prepare expense reports on behalf of the Executive Director.
  • Draft, review, copy, and file confidential documents and organizational correspondence for the Executive Director.
  • Prepare presentations on behalf of the Executive Director.
  • Facilitate regularly scheduled organization wide meetings via Microsoft Teams/Zoom.
  • Conducts research, gathers data, and compiles reports as assigned by the Executive Director.
  • Provide administrative support, tracking progress and the deadlines for special projects for the Senior Leadership Team members.
  • Coordinate travel itineraries, including flights, accommodations, and transportation for the Executive Director and Senior Leadership Team.
  • Plan retreats and meetings for Board of Directors and Senior Leadership Team (note taking, meeting set-up, material preparation, etc.).
  • Provide administrative support and compliance oversight for the Board of Directors, for both grant requirements and organization policies, including meeting minutes, resolutions, meeting coordination, and serving as liaison between Board of Directors and Senior Leadership.
  • Ensure Board of Directors’ documents, bylaws, meeting minutes, and resolutions are organized and kept in accordance with all local, state, and federal laws.
  • Prioritize conflicting needs and proactively addressing impediments.
  • Collaborates with the Development Team to coordinate meetings and logistics for funder/donor visits, and special events, including proper notification to and follow up with guests and relevant parties.
  • In collaboration with the Development Team, prepare slide decks, correspondence, and reports for funders and donors.
  • Maintain corporate records and compliance, and create filing systems for seamless retrieval.
  • Other duties as assigned.

Qualifications

  • Associate degree required and Bachelor’s degree preferred.
  • A minimum of five years of experience providing administrative support to senior leaders, preferably in the nonprofit sector.
  • Proven track record working independently and as part of a larger team.
  • Must have the skills to draft, edit, copy documents, emails and provided proof reading and writing.
  • Able to juggle multiple tasks and keep pace with fast-moving Executive Director and Senior Leadership Team.
  • Must have excellent interpersonal, written, and verbal communication skills.
  • High level of organization, attention to detail, follow-through, and multi-tasking required.
  • Must understand and exercise good judgment with confidentiality issues, including experience working with sensitive or confidential documents.
  • Excellent computer skills (MSOffice/365, databases, PowerPoint, and communication systems), and willingness to learn new technology skills as required.
  • Ability to follow directions with minimal supervision, and take initiative within your work.
  • Ability to remain calm and focused under pressure, executing with precision.
  • Ability to undertake complicated analytical projects, including budgeting.
  • Commitment to working with people experiencing homelessness and/or victims of domestic violence, and support for the organization’s mission and culture required.
