Somewhere Nowhere NYC - Lounge, Nightclub & Rooftop Pool is Hiring an Office Administrator Near New York, NY

POSITION SUMMARY 

The Office Admin (OA) is responsible for leading the daily back of the house operations of the venue to ensure a positive guest experience. Oversee all reservations while maintaining established revenue, expense and quality standards. Work with the management staff to ensure an efficient operation that provides levels of service that consistently exceeds guest and ownership expectations.

ESSENTIAL JOB RESPONSIBILITIES

  • Manages the office area to ensure effective communications (phone, mail, printing) both internally and externally to maintain professional image
  • Printing of Menus, reservation management with reservation system and office technology service
  • First line of communication with the venue 
  • Reply to all email inquiries (Reservations, lost & Found, events, complaints etc) & transfer emails to the right department
  • In Charge of all Bank deposits & cash replacement for banks (weekly task) and maintaining balanced Banks and petty cash flow in the building
  • In Charge of responding to all chargeback's and weekly Chargeback win/lose report to management
  • In Charge of receiving the weekly office orders and following up with vendors to address any issues
  • Scanning and filing all Invoices, receipts properly as required by law
  • Reporting to GM and AGM on all issues that occur the night before/ over the weekend and what needs to be handled on the senior management level
  • In Charge of all office and cleaning supplies ordering
  • Assisting with accounting software/sales data and logs, and timeclock systems
  • Supervises and coordinates overall administrative activities to assist Managers
  • Runs daily reports, orders all office-related materials
  • Works to assist corporate staff in operations, finance, and marketing as needed 
  • Participates in special projects and is able to help support FOH management and door staff when needed

Job Requirements

In the Office Admin role, you must be self-motivated, positive, and excellent at both internal and external communications. You must be very organized and knowledgeable in Human Resource issues along with hospitality related items. 

KNOWLEDGE, EXPERIENCE AND SKILLS

  • At least 2 years of previous experience in office management and/or guest relations experience. 
  • Knowledge of hospitality business and reservation management 
  • Excellent communication skills with management, employees, and guests 
  • Ability to clearly and professionally communicate with guests over phone
  • Ability to multi-task; excellent planning, time management, and organizational skills
  • Excellent computer skills, advanced knowledge of Microsoft Office. • Open Table and POS experience is a plus. 
  • Ability to work independently with a high degree of accuracy, efficiency and accountability
