We are looking for an Executive Assistant to join our team as we continue growing in numerous markets. The ideal candidate has a high-level of organization, prioritization, and task management skills, who is looking to be a part of a team in an energetic work environment, and who is wanting a diverse role involved in various responsibilities. Reporting to the Chief Operations Officer, you will provide administrative support with day-to-day office management tasks, managing the COO’s business/personal schedule, email, and meetings, assisting with internal and external correspondence, and partnering with project team committees, charity organizations, and business partners to support company initiatives.

Essential Job Duties:

  • Provides administrative support of day-to-day office management tasks for the Chief Operations Officer of the company.
  • Monitors, manages, and coordinates the COO’s business and personal schedules, emails, phone calls, and other internal/external correspondence.
  • Assists with drafting and managing professional correspondence for business partners and high-profile contacts.
  • Attends community functions as a company representative, non-profits and political
  • Partners with charity organizations to coordinate events and support initiatives.
  • Partners with other employees and business contacts on project committees, assists with planning and coordinating company events and activities.
  • Takes initiative to anticipate needs of COO and others to support efficient and effective task management.
  • Applies organizational and prioritization skills to assist with maintaining and/or improving internal processes for maximum efficiency for the COO.
  • Manages confidential and sensitive information with discretion and integrity.
  • Responsible for observing all laws, regulations and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
  • Performs other duties as assigned.

Qualifications:

  • Typically requires a High School Diploma or equivalent and 3-5 years of executive administrative assistance, project management, and/or paralegal experience, or in a related field.
  • Comfortable and experienced with MacOS and Google Workspace applications.
  • High-level task management skills and ability to follow up with others and track down information or status updates.
  • Strong organizational and prioritization skills, able to work in a fast-paced environment and balance various tasks.
  • Able to work independently with some guidance within established expectations associated with the specific job function.
  • Strong, professional written and verbal communication skills to effectively communicate with employees at all levels of the organization, as well as external partners/stakeholders.
  • Demonstrated commitment to maintaining confidentiality, integrity, and ethical conduct in handling sensitive and confidential information.
  • Excellent interpersonal skills to build and maintain positive relationships with employees, management, and external contacts.
  • Reliable attendance and transportation to work location.
  • Authorized to work in the United States.
