Job Overview:
We are seeking a reliable and organized Front Desk Receptionist to join our team. As the first point of contact for our office, you will play a crucial role in providing exceptional customer service and administrative support for the team who provide services in Taxes, Accounting, and Payroll to numerous clients. The ideal candidate will have experience in a professional office setting and possess strong organizational and communication skills both in-person and over email/phone with clients and team members.
Responsibilities:
- Greet and welcome clients and visitors in professional and courteous manner
- Answer phone calls, schedule appointments, and manage the front desk area and resources
- Verify client information, collect payments, and assist with follow up on tax and accounting tasks.
- Maintain client records and ensure accuracy of tax return details.
- Handle incoming and outgoing mail, faxes, voicemails, and other correspondence
- Assist with maintaining and updating task management processes using office CRM tool (Canopy)
- Adhere to professional guidelines to ensure client confidentiality
- Provide general administrative support to the office staff as needed
Requirements:
- Previous experience as a scheduler, receptionist or in a similar administrative role preferred
- Proficiency in using office equipment such as phone systems, scanners, printer, and computer(PC) programs
- Strong computer skills with knowledge of Microsoft programs (Outlook, Teams, Excel, Words) required
- Familiarity with tax and accounting terminology is a huge plus
- Excellent communication skills, both verbal and written
- Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment
- Detail-oriented with strong organizational skills
