Analyze and process incoming expenditures according to company guidelines and other regulations while providing customer service regarding all internal and external AP inquiries.

Responsibilities:

• Keys expenditures, stop pays and reissues into the Accounts Payable system with consistent accuracy and proficient data entry skills.
• Expenditure types include manual invoices, expense reports, wires and hand checks.
• Uploads electronic invoices using a system interface.
• Keys and matches invoices to purchase orders and receipts in the Purchasing and Accounts Payable systems.
• Marks invoices as paid in Purchasing system based on reporting from the Accounts Payable system.
• Verifies proper documentation, coding, and appropriate authorization approvals on all expenses and expense reports.
• Routes unresolved expenditures to obtain additional information from approver or purchaser.
• Maintains Pcard system and processes Pcard transactions.
• Processes month end Pcard batch and imports it into the Accounts Payable system.
• Batches, scans and attaches all invoices into Accounts Payable systems.
• Runs “end of day” and “end of month” processes in Accounts Payable systems to identify errors as well as transmit GL entries and check batches.
• Keeps a log of all checks that are picked up in person by RHP employees. Coordinates and maintains vendor information and forms.
• Analyzes expenditure for proper processing by monitoring taxation and variances.
• Monitors vendor statements to ensure proper reconciliation.
• Communicates with internal and external customers regarding invoice processing.
• Opens, sorts and distributes internal mail on a daily basis.
• Performs other duties as assigned.
