We are seeking a highly organized and detail-oriented Office Manager to join our team and play a vital role in ensuring the smooth operation of our Palo Alto office.ResponsibilitiesFinance & Accounting:Oversee daily accounting functions for the Palo Alto office.Assist with budget preparation and monitoring in collaboration with the Director of Administration.Approve non-client invoices for office operations.Ensure timely completion of time entries and pro formas.Firmwide Support:Implement and maintain efficient administrative systems and processes.Manage office technology and ensure smooth operation of all software programs.Oversee vendor relations and negotiate service contracts.Facilitate communication and collaboration between departments.Facilities Management:Oversee the maintenance and upkeep of the office space.Manage furniture and equipment inventory.Coordinate office moves and renovations.Ensure a safe and comfortable work environment for all employees.Regional Management:Supervise and lead a team of administrative professionals.Delegate tasks and provide ongoing coaching and development.Address employee concerns and maintain a positive work environment.Supervisory:Conduct performance reviews and implement disciplinary actions when necessary.Ensure adherence to firm policies and procedures.Foster a culture of professionalism and teamwork.Client Relations:Provide exceptional administrative support to attorneys and clients.Manage attorney calendars and schedules.Coordinate client meetings and travel arrangements.Handle client inquiries in a professional and courteous manner.
