Raventek Solution Partners is Hiring an Administrative Assistant, Junior Near Washington, DC

Description

Job Title: Administrative Assistant, Junior

Department: Operations - Services

Reports To: RavenTek Program Manager

Location: Washington, DC with flexibility for telework

Schedule: Monday - Friday

Hours: Full-time, 40-hours/week

FLSA Status: Hourly, non-exempt

Position Summary

In support of the United States Agency for International Development (USAID) M Bureau Institutional Staff Support (MBISS) contract, the Administrative Assistant provides support to the MBISS leadership and management team by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, and providing other administrative tasks. The performance of this position is key to RavenTek's performance on the USAID Management contract, and therefore RavenTek's mission to support USAID. 

Essential Duties and Responsibilities

  • May assist, identify, analyze, update, support, schedule, organize, maintain, and manage with the tasks listed below:
  • Administrative functions include supporting project/program tracking, data analysis and documentation, program document preparation and presentations, and budget and field support tracking.
  • Clerical functions such as control and filing/library maintenance, portfolio review support, management systems support, handling information requests, program file management, preparing correspondence, receiving visitors and calls, arranging conference calls, route incoming and outgoing mail, and scheduling meetings (technical and program related, conferences and events planning).
  • Travel planning and coordination.
  • Coordinating Team input for specific projects.
  • Scheduling and coordinating meetings and conferences.
  • Preparing presentations as part of a team with guidance and supervision.
  • Recording and documenting office procedures and processes.
  • Maintaining meeting minutes as needed.
  • Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period. 
  • Submit MSRs (Monthly Status Report). 
  • Monitor RavenTek email on a regular basis, at least 3 times per week, and respond accordingly. 
  • Complete required compliance training as assigned by RavenTek. 
  • Other duties as assigned. 

Qualifications, Knowledge, and Critical Skills

  • Proficient in the use of Microsoft Office, Google Suite, internet, email applications, and database applications.
  • Demonstrated ability to appropriately handle sensitive and confidential information.
  • Must always present an organized and professional workspace and appearance.
  • Conduct work in a timely and professional manner.
  • Process oriented with demonstrated problem-solving skills.
  • Skilled in effectively managing and prioritizing work.
  • Maintain ability to work well with others, adhere to contract requirements, and comply with company policies and procedures, and SOPs (standard operating procedures).
  • Exceptional oral and written communication skills.

Education & Experience

  • High School Diploma.
  • Minimum of one year of professional administrative support experience.

Certifications, Licenses

  • None.

Special Requirements

  • Public Trust (Facilities Access) clearance required.

Work Environment

When working on-site, employees will be working indoors in an office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs regularly. 

Physical Demands

Employees need to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; see, talk, and hear. Most positions require the ability to work on a desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and providing recommendations, summaries and/or reports in written format. Employees may be required to occasionally lift and/or move moderate amounts of weight, typically less than 20 pounds. Regular and predictable attendance is essential.
