LOCATION: Washington, DC

REPORTS TO: Executive Office and Campaign Manager 

EFFECTIVE DATE: April 25, 2024

COMPENSATION: $20-$25/hr., 20 hrs/week

POSITION SUMMARY

The Administrative Assistant reports directly to the Executive Assistant, providing a wide variety of administrative support for the office of the President and Executive Director. The Administrative Assistant is an organized, responsive, and resourceful professional who is passionate about ecoAmerica’s mission, a strong communicator and project manager (in a dynamic environment), and highly proficient with a range of professional workflow applications.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Scheduling and Communications Support (60% of time)

  • Under the guidance of the Executive Assistant, support scheduling appointments and calendar management of both the President and Executive Director.
  • Research and book travel for the President and Executive Director; manage and communicate changes.
  • Research, book, and manage dinners and small fundraising events, including locations, hosts, food & beverages, invitations/RSVP management, programming, and follow up.

Special Projects (30% of time)

  • Support special project work at the request of the Executive Assistant, President or Executive Director, including desk research, presentation creation, or similar.
  • Support special projects for fundraising, including assistance with mailings, research, and database management.
  • Support ecoAmerica campaign management with desk research, resource support, mailing, planning, tracking and reporting, or similar.

Office Management Support (10% of time)

  • Collect and distribute mail.
  • Ensure office supplies are available and ordered.
  • Support office organization and upkeep, facilitate service for spaces or fixtures in need.

Qualifications, Knowledge, & Skills Required:

  • College degree preferred and 1-2 years of related work experience. Fundraising experience a plus.
  • Superior project management skills. Organized, detail-oriented, a proactive self-starter and problem-solver. Able to plan and execute details and manage multiple priorities to ensure accuracy and high-caliber, efficient implementation in a deadline-driven environment. Ability to work simultaneously with multiple staff in different time zones.
  • Superior writing, communications, interpersonal, and collaboration skills. Outgoing and polished demeanor along with a strong professional presence. Ability to handle sensitive information with high discretion and reliability.
  • Commitment to being physically in the DC office a minimum of 1 day per week.
  • Understanding of and passion for ecoAmerica’s mission and climate/sustainability and commitment to justice, equity, diversity, and inclusion.
  • Proficiency with Word, Excel, Powerpoint, Google Suite, calendaring, online travel, and MacOS required. Experience with Salesforce and content management systems a plus.

ADA SPECIFICATIONS

This position is largely sedentary in nature however one must possess the ability to speak, hear, and write as well as the ability to use a computer and related software programs, and lift up to 20 lbs. Local and/or national travel periodically required.
