Quality One Wireless is Hiring an Executive Assistant to CEO Near Orlando, FL

Position Overview: The Executive Assistant is responsible for providing high-level administrative support to the CEO. The Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects.

Job Duties and Responsibilities

  • Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments including personal appointments; completing expense reports; composing and preparing correspondence that are often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Plans, coordinates, and ensures the CEO's schedule is followed and respected
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office
  • Communicates directly, and on behalf of the CEO, with Board members, staff, and others, on matters related to CEO
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature and determines appropriate course of action, referral, or response
  • Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Represent the company and the CEO in a positive light through great follow-through skills and sound judgment
  • Conserve the CEO's time by reading, researching, collecting, and analyzing information as needed, in advance
  • Complete ad hoc projects as assigned – such as personal events/errands and/or family needs
  • Other job-related duties as assigned by CEO

Technical Competencies

  • Advanced Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Knowledge in calendar software

  • Must be able to read, write, and speak English fluently
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent communicator that can interact with people of all levels in a confident, professional manner
  • Must be creative and enjoy working within an entrepreneurial environment
  • Must have the ability to exercise good judgment in a diversity of situations
  • Ability to maintain a realistic balance among multiple priorities in a fast-paced environment
  • Business sense - has a strong business sense and can decipher priorities and make sound judgment calls
  • Excellent time management skills with proven ability to meet deadlines

  • Demonstrate ability and temperament to work with sensitive information

Certification and License Requirements

  • None Required

Special Requirements and Working Conditions

  • Must be able to sit/stand for long periods of time
  • Must be able to use computer equipment for long periods of time
  • Must be able to travel occasionally
  • Must be able to lift/push/pull 20 pounds comfortably

Work Experience: 5 years of related experience required in working in an executive assistant role supporting C-Level executives.

Education: Bachelor’s degree preferred, but not required.

Training Requirements: On the job training provided

Job Type: Full-time

Pay: $56,103.00 - $60,547.00 per year
