Peachy Studio is Hiring an Administrative Assistant Near New York, NY

Peachy is in a phase of rapid growth, and we are seeking an experienced Administrative Assistant to play a crucial role in our corporate team. This on-site position, based at Peachy's headquarters in New York, requires an individual with a proactive mindset, exceptional organizational skills, and the ability to take ownership of various responsibilities. The role involves supporting the co-Founders, corporate employees and Peachy studios across multiple markets.

What You’ll Do:

General Office Duties:

  • Take ownership of office management, ensuring cleanliness, organization, and the availability of necessary supplies.
  • Oversee the maintenance of common areas including the kitchen, ensuring a tidy and professional workspace.
  • Manage the creation of a welcoming atmosphere by overseeing coffee preparation and maintaining a positive environment for employees and visitors.

Administrative Support:

  • Take full ownership of arranging domestic and international travel arrangements for individuals and teams, ensuring a seamless and organized process.
  • Provide high-level personal assistant support for co-founders, handling sensitive and confidential information with utmost professionalism.
  • Lead event planning and coordination for various office events and activities, taking charge of logistics and execution. This includes ordering and setting up food deliveries.
  • Be the first point of contact for visitors, ensuring a positive and professional first impression.
  • Take responsibility for the distribution of incoming mail and packages, as well as managing outgoing shipments.
  • Proactively communicate with building management regarding security, logistics, and related matters.
  • Take a leadership role in supporting ad-hoc projects as needed.

Supply Management:

  • Own the monitoring and replenishing of office supplies to ensure seamless availability for all staff. Take charge of tracking and managing expenses and inventory.
  • Lead the coordination of lunch/breakfast orders as needed for meetings or events.

Shipping and Receiving:

  • Manage the end-to-end process of shipping and receiving office supplies, products, and other deliveries to clients, employees, and studios.
  • Maintain detailed and accurate records of shipments, and verify incoming products for accuracy.

Additional Duties:

  • Monitor Peachy’s social media accounts and proactively respond to messages and inquiries.
  • Provide comprehensive and proactive light IT support for both corporate and studio teams.

What You Have:

  • Minimum of 2-4 years of experience as an administrative assistant, office manager, or similar role for a corporate office.
  • Experience supporting the following areas in a corporate environment; booking complex group travel arrangements, working with building/facilities management, managing a corporate social media accounts, planning company events and meetings, and general office management duties.
  • Demonstrate a high level of organizational and multitasking skills.
  • Excellent communication and interpersonal skills, with the ability to represent Peachy professionally.
  • Proficiency in basic office software including Google Suite (Documents, Slides, and Sheets).
  • Ability to thrive in a fast-paced environment, demonstrating leadership both independently and as part of a team.
  • Minimum of 18 years old and eligible to work in the United States without sponsorship.

Pay & Perks:

  • The target pay range for this role is $24.00 - $29.00/hour.
