Patricks Painting & Home Improvement is Hiring an Administrative Assistant/Reception Near Alexandria, VA

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to multitask. As an Administrative Assistant, you will provide essential support to ensure the smooth operation of our office alongside our office manager.

Full Job Description:

Pay Rate: From $19- $21 an hour (Based on level of experience)- The role is part-time

initially, but theres potential for it to transition into a full-time position.

Position Type: Part-time (20-30 hours per week)

Schedule: 5 days per week (approx. 4-6 hours per day), with core hours on Mondays,

Wednesdays, and Fridays starting at 9 AM

Tasks/Duties:

1. Customer Communication Management:

 Answer telephone calls, emails, and online inquiries from clients and

vendors.

 Manage customer interactions efficiently and professionally.

 Handle inquiries promptly and accurately.

 Pick up voicemails every morning and route them appropriately within the

organization.

2. Calendar Management:

 Schedule estimates according to Sales Person’s calendars.

 Ensure efficient utilization of time and resources.

3. Payment Processing:

 Input payments received via checks and credit cards into the system.

 Send out payment receipts daily.

4. Financial Record Keeping:

 Upload receipts into Dext and maintain organized filing systems.

5. Inventory Management:

 Order employee attire and maintain inventory.

 Monitor office supplies and order new stationery, furniture, etc. as needed.

6. Errand Running:

 Run occasional errands as required to support organizational operations.

7. Insurance Management:

 Request Certificates of Insurance (COI) and email them to clients as

needed.

 Manage renewals of COIs for subcontractors and update information in the

system.

 Ensure subcontractors information and insurance are up to date.

Experience and Skills Required:

 Tech and internet savvy.

 Detail-oriented with a high level of accuracy.

 Possesses a great attitude and demonstrates exceptional customer service skills.

 Proactive and able to anticipate needs.

 Competent with Microsoft Office and Google Suite.

 Experience with QuickBooks Online is a plus.

This role requires someone who can effectively manage various administrative tasks,

communicate professionally with clients and team members, and maintain organized

systems for efficient operations. The ideal candidate will be proactive, detail-oriented,

and possess strong interpersonal skills.

Pay: $19.00 - $21.00 per hour

Expected hours: 25 per week
