The Greenhouse Condominium is Hiring an Administrative Assistant Near Alexandria, VA

About us

The Greenhouse Condominium is a small business in Alexandria, VA. We are professional, customer-centric, collaborative, and our goal is to Enhance property value for owners of the condominium units in the Greenhouse high-rise condominium building.

We are proud to work as a team. As an Administrative Assistant, you will be closely working with the Site Manager, collaborate with the Maintenance Team Engineers, and Front Desk Administrators.

Administrative Assistant

The Administrative Assistant (AA) reports to the Site Manager to ensure that day to day business operations run smoothly. The Administrative Assistant will draw up weekly schedules, order merchandise, and assist the Site Manager with training, recruiting, promotions, and planning. Maintains Condominium business and member records. Coordinates committee activities. Responsible for Condominium forms and correspondence, maintains Condominium files and records (paper, magnetic, and electronic). Assists in the preparation of Board Packages, distribute Board Minutes, provides system administration for the office computers and networks, and performs other duties and special projects as assigned. Plans, organizes, motivates, coordinates, and supports the Condominium volunteer leadership. Develops and distributes notifications to the community as instructed.

Qualifications Desired:

  • Associate Degree and CMCA.
  • Three to five years employment in an administrative capacity with a community association or management firm.
  • Word processing, data processing, and organization skills required.
  • Knowledge of Association billing system is required.
  • Have general knowledge and understanding of building systems and components.

Responsibilities (include but not limited to the following):

  • Cooperating with the Site Manager and assisting with anything from project planning to staff management.
  • Nurturing positive working relationships with staff.
  • Delegating daily tasks.
  • Addressing any issues in a timely fashion.
  • Follow Managers direction in supervising staff and controlling merchandise, as appropriate.
  • Ensuring company policies and procedures are followed.
  • Ensures maintenance of all files, records, and correspondence in accordance with company procedures and good business practices.
  • Works closely with city and federal agents and maintain knowledge of various government agencies and procedures with regards to the building maintenance and access.
  • Possesses ability to independently determine the best way to perform a job. (Requires ability to deal with numerous situations, financial records, and a wide array for computerized information and data with initiative to comprehend what needs to be completed, applied, and results achieved).
  • Responsible for assurance of accuracy in records, integrity and currency of the Condominium invoicing and membership assistance (Resident Services), and business records.
  • Maintains the office files and web network systems.
  • Plans, organizes, motivates, coordinates, and supports the Condominium volunteer leadership.
  • Performs assigned duties in a cheerful, efficient, and cost-effective manner.
  • Subscribes to the Community Association Institute (CAI) Code of Ethics.
  • Maintains daily contacts with the other employees, residents, condominium committees, contractors, service providers, and other professionals. (Occasional contact with City of Alexandria government agencies and department personnel).
  • Requires independent thinking, judgement, and organizational skills. (Involves analyzing data and drawing conclusions).
  • Requires normal physical office work with no heavy lifting in a normal office environment.
  • Performs some functions of Site Manager in his/her absence.

Job Type: Full-time

Pay: $41,000.00 - $42,000.00 per year
