Job Overview:
We are seeking a highly organized, detail-oriented, versatile, and outgoing individual to join our team. The role is primarily as an Executive Assistant. However, there is a need to flex into many areas of the business. You will provide administrative support to our leadership team and ensure the smooth operation of the company. This is a part-time position and is available either as a part-time employee with the possibility of it converting to full-time in the future with opportunities for career growth or as a contractor with the possibility if it converting to employee in the future.
Duties:
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Conduct research and gather information for various projects
- Perform clerical tasks such as typing, data entry, proofreading, and filing
- Coordinate travel arrangements and accommodations
- Act as the first point of contact for internal and external stakeholders
- Provide administrative support to the leadership team as needed
- Assist with front desk duties and provide excellent customer service
- Check mail; organize and scan paperwork; register and manage accounts
- Manage timesheets and generate customer invoices
- Generate contracts and reports from provided information
- Manage social media accounts, blog posts, and customer mailings
- Complete errands and other odd jobs as needed and appropriate
- Work with vendors to accomplish these tasks where appropriate
Qualifications:
- Proven experience as an administrative or executive assistant
- Proficient in using Google Suite (Docs, Sheets, Slides) and other office software
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and accuracy in all work tasks
- Ability to handle sensitive and confidential information with discretion
- Strong problem-solving skills and ability to work independently
- Previous experience in customer service is a plus
- Basic design skills to make reports and presentations look nice is a plus
- Experiencing managing social media accounts a plus
- Willingness to have initial discovery calls with new prospective customers not necessary, but a plus
- Willingness to use your LInkedIn profile to work with our social media partner to generate leads not necessary, but a plus
