British American Household Staffing is Hiring a KP519 - Full-Time Executive Personal Assistant - NYC Near New York, NY

Overview

An extraordinarily intelligent, highly organized executive personal assistant is needed to navigate the personal and professional lifestyle of a busy principal in New York City.

Candidates will have personal and professional oversight, and will work directly with the employer to navigate day-to-day operations. Responsibilities will include; managing the principal’s personal calendar with an awareness as to the principal, team, purpose, timeliness and participation, minimizing juggling of last minute adjustments and shuffling of meetings, coordinating any and all personal needs and developing efficient ways of working with the principal’s team, responding in real-time on a 24/7 basis to urgent inbound requests and scheduling updates, planning international and domestic travel logistics (including seamless travel itineraries, hotel and dinner reservations, drivers, security, etc.), proactive time management, scheduling, planning and time-lines, executing daily activities including placing lunch orders, delivering coffee, arranging deliveries, updating contacts, responding to emails on behalf of the employer, etc., conducting research for upcoming and on-going projects, logistical follow-up on all purchase orders, tracking and deliveries, ordering and tracking purchase orders and informing the team ahead of time of order details, serving the principal drinks and food, managing the principal’s wardrobe, coordinating with household staff on managing the principal’s clothing, food, and other home needs, coordination with household staff, supporting the completion of household duties, and more. 

Duties will also extend to employer liaison, i.e. serving as the direct representative of the principal’s interests (ensuring that priorities are managed and that work is progressing in a timely manner, executing special projects as requested by the employer, coordinating preparatory documentation/briefings, proactively handling logistics and hospitality for meetings, conference calls and any other related items, providing historical reference by developing and utilizing filing and retrieval systems for meeting discussions etc.); research and development (i.e. preparing the employer by collecting and analyzing information, producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, conserving the executive's time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing research, prioritizing and following up on incoming issues and concerns addressed to the principal including those of a sensitive or confidential nature, determining an appropriate course of action, referral, or response, etc.); property and staff management (overseeing systems to keep the home and office running smoothly, working seamlessly with the team to ensure that nothing is overlooked in the principal’s professional or personal calendar including family events, household needs, clothing lists, etc., providing a bridge for smooth communication between the employer and internal departments, demonstrating leadership to maintain credibility, trust and support with management staff, planning and overseeing guest/visitor wishes and requirements, and more). 

The right applicant will be fashion-forward, meticulously detail-oriented, extremely professional, have a fabulous personality, and a warm attitude. Candidates should ideally also have 5 years of experience in a professional business background, a bachelor’s degree, a clean and current driver’s record, the ability to travel on an as needed basis, advanced Microsoft Office skills (with an ability to become familiar with specific programs and software), proficiency in collaboration and delegation of duties, work experience in New York City, knowledge/familiarity with restaurants, bars, shopping, etc., exceptional professionalism, communication (both written and verbal) and interpersonal skills, strong work ethic, adaptability, be highly responsive with a warm attitude, experience building relationships both internally (among employees) and externally (with vendors, customers, etc.), have an interest in the arts and political science/economics, a calm demeanor under pressure and the ability to remain professional at all times, experience working collaboratively with the ability to execute independently, a self-starter, proactive, extraordinarily detail oriented approach, with a “no task too big or too small” attitude, strong organizational, project management and problem-solving skills (with impeccable multi-tasking abilities), the ability to uphold a strict level of confidentiality, and the ability to travel domestically and internationally for 1-2 weeks at a time.
