Legal Administrative Assistant (Litigation) - West Coast

The Legal Administrative Assistant will work as part of a cohesive administrative team to support Partner and Associate Attorneys in our litigation practice. This is full-time, 100% remote position eligible for benefits and with an approximate daily schedule of 8:30am to 5:30pm Pacific Time with a one-hour unpaid lunch break. Some flexible scheduling will be considered but the successful candidate must be available during normal business hours in the pacific time zone. The hourly rate of pay for this position is expected to be between $25.00 and $35.00.
Sampling of Responsibilities:
  • Prepare, organize, index, develop, and manage exhibits, evidence and relevant data including court filings.
  • Assist with researching and organizing voluminous discovery projects.
  • Maintain complex calendars.
  • Draft, transmit, track, and file professional correspondence.
  • Review preliminary invoices.
  • Coordinate limited travel arrangements.
  • Serve as a contact for the department to internal and external customers.
  • Collaborate and support the team to provide responsive customer service.
  • Intake new matters and open files.
  • Manage court filings in CA and other states.
  • Perform other administrative tasks as assigned.
Skills & Qualifications:
  • Associate Degree or equivalent training/work experience.
  • 3-5 years litigation support experience within a legal department or law firm, required.
  • Demonstrated proficiency in computer software applications, including MS Office (Word, Excel, and PowerPoint, Outlook, etc.). Ability to learn and use other applications as necessary, i.e. ProLaw.
  • ProLaw or other case management system experience, preferred.
  • Experience with document management systems and best practices.
  • Experience with eDiscovery, preferred.
  • Experience with CA (required) and other state court e-filings.
  • Experience with professional services billing systems.
  • Effective time management skills to balance the workload of Partner and Associate attorneys and efficiently prioritize requests.
  • Effective verbal and written communication skills with the ability to collaborate with all levels of internal and external parties.
  • Ability to problem-solve and resolve issues quickly and efficiently.
  • Experience managing complex, often changing, and conflicting schedules.
  • Advanced knowledge of legal terminology.
  • Proven analytical and research skills with ability obtain information or data from various sources and materials and organize, with attention to detail, into a comprehensive package.
  • Ability to use high level of discretion and maintain confidentiality at all times.
  • Multi-tasking skills with the ability to deliver under demanding time frames.
