Administrative Assistant
Location: Atlanta, GA
Reports To: Project Manager
Position Summary:
This position is responsible for the day-to-day direct support of the Project Manager to ensure management, coordination and control of the contracts along with the daily administrative functions of a project office.
Education and Experience:
· Minimum 5 years office management experience in construction related field or possess a comparable degree
· Administrative and clerical procedures experience
· Government contracting experience preferred
· Experience with subcontractor payroll practices working on Davis Bacon Contracts
· Government invoicing (Wide Area Work Flow (WAWF) experience preferred)
· Computer literacy with knowledge of MS Office software application
Key Competencies and Abilities:
· Excellent customer service skills, including the ability to interface with all levels of employees, customers, official, and subcontractor personnel
· Ability to prioritize work load and to work independently with minimal supervision
· Excellent verbal and written communication skills
· Good organizational skills
· Ability to maintain confidentiality of contractual, financial, personnel, and privileged documents and communication
· Ability to multi-task and work in a team environment
· Attention to detail
· Valid Driver’s license is required
· Professional personal presentation
· Punctuality and good attendance required
· Ability to pass and maintain the National Non-Sensitive Security Background Clearance
Essential Job Functions:
· Provide general administrative support to the project office including but not limited to ordering and replenish supplies for office
· Manage flow of communications through the office
· Manage document flow, security, and accountability within the office
· Organize, maintain, and control contract and project records and documents
· Process all approved subcontractor master agreements, DOA’s and DOACO’s
· Process subcontractor payment requests
· Process subcontractor certified payroll submissions
· Responsible for timely completion of monthly government invoicing
· Timely project closeout and customer invoicing
· Other duties as assigned
