Job Description:


SUMMARY:

Provide labor, materials, equipment, supplies and professional assistance to the Human Resources Office (HRO) in support of a broad range of activities essential to ensuring the smooth and effective flow of activities performed by the Human Resources Office, Client Services Office (CSO).

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Handle an array of administrative duties to include triage of incoming calls, responding to emails in a timely and professional manner, escorting customers through the building, preparing travel arrangements, maintaining files and preparing reports, enter training orders, and preparing meeting minutes.
  • Promptly and courteously answer phone and e-mail inquiries and disseminates information to appropriate HRO staff via written and/or verbally.
  • Provide direct administrative support by preparing email correspondence, agendas, presentations, and materials for reproduction and distribution.

  • Greet and escort guests in a professional, friendly, hospitable manner.
  • Type memos, correspondence, reports, and other documents.
  • Perform a wide variety of clerical duties in support of the overall HRO mission.
  • Utilize knowledge of applicable business operations, leaders, policies and procedures to coordinate daily priorities.
  • Maintain confidential filing system.
  • Prepare reports, presentations, charts, and graphs.
  • Maintain appointment and meeting calendars.
  • Prepare and distribute agenda and minutes for meetings.
  • Prepare training orders in the CDC Vendor Supplied Training System (VSTS).
  • Provide relevant information to employees related to training courses.
  • Access and prepare award submissions (Cash, Time Off and Performance Awards, Length of Service and Retirement Awards) using the electronic human resources database.
  • Prepare office travel through proper HRO channels and submission to the electronic travel order processing system (i.e. GovTrip).
  • Maintain regular and punctual attendance.
  • Perform other related duties may as assigned.

SUPERVISORY RESPONSIBILITIES:

None.

Job Requirements:


MINIMUM QUALIFICATIONS:

  • One (1) to two (2) years of clerical and customer service experience preferred.
  • Proficient in Microsoft Suite products (i.e. MS Excel, PowerPoint, Word, Outlook).
  • Must be able to obtain and maintain a Homeland Security Presidential Directive (HSPD)-12.
  • Must obtain and maintain any necessary security access and/or background checks.

  • Maintain high level of confidentiality in the performance of tasks to be delivered.
  • Ability to prioritize multiple tasks successfully.
  • Excellent written communication skills to perform accurate documentation, both written and electronic, of all activity in accordance with requirements.
  • Ability to work in a diverse, flexible, deadline-driven, government environment.
  • Strong organizational skills and detail oriented.
  • Demonstrates accuracy and thoroughness; monitors own work to ensure quality.

PHYSICAL DEMANDS:

Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing and seeing up close, at a distance, along the periphery, with depth perception and the ability to adjust focus; occasional walking or standing, occasional lifting of up to 30 lbs. WORK ENVIRONMENT:

Work is performed primarily in an office setting. Employee will be exposed to a wide variety of clients in differing functions, personalities, and abilities.

WORK SCHEDULE:

40 hours per week. May be required to work additional hours as needed to complete an assignment or project.
