Montgomery County Government is Hiring an Administrative Aide, Grade N12 Near Rockville, MD

The Office of the County Attorney is seeking an Administrative Aide to provide administrative support for the Administration Unit and the Code Enforcement Team. Primary duties include but are not limited to:

  • preparing boxes of legal files for archiving in accordance with County’s record retention policy.
  • creating online archiving batches in the online Power Application.
  • coordinating with archiving staff for storage and retrieval of records.
  • scanning debt collection, code, litigation, and other legal files using Knowledge Lake or Zy Image system.
  • providing support to legal secretaries to search and locate archived/scanned case files.
  • providing administrative support for the Code Enforcement Team.
  • scanning citations into Zy Imaging and Knowledge Lake.
  • updating data in ProLaw.
  • processing defendant correspondence, court filings and Abatement Orders.
  • processing payment records from defendants to Treasury.
  • preparing paper files for dockets weekly.
  • preparing Military Affidavits in Word.
  • providing ad hoc assistance for priority cases that have volumes of citations issued to the same Defendant.
  • Answering phone calls or assistance with walk-ins on as needed basis.

Work hours are Monday through Friday, 8:30 a.m. - 5:00 p.m.

Minimum Qualifications


Experience
: At least one (1) year of working experience as an office support employee.

Education: Graduation from high school or High School Certificate of completion recognized in the State of Maryland.

Equivalency: An equivalent combination of education and experience may be substituted.


Preferred Criteria

Your resume should include information specific to the preferred criteria listed below. Make sure that your resume references your knowledge, skills, and abilities as they relate to the preferred criteria. Ideally, the preferred criteria should be addressed in a separate section in your resume. All minimally qualified candidates will be placed on the eligible list as Qualified.

Selection for interview will be based on the criteria shown below.

  • Experience in Microsoft Office 365 (Outlook, Word, Excel, Teams), Adobe Acrobat DC Pro, Zyscan, Zyfind, ProLaw, KnowledgeLake, SharePoint and Power Application.
  • Experience in efficiently entering data into ProLaw, Excel, Zyimaging, Knowledgelake and SharePoint with speed and accuracy.
  • Experience working with code civil citations and court processes in a legal office environment.
  • Experience handling court forms and orders with the District Court and preparing Military Affidavits in Word for the MI cases.
  • Experience dealing with large volume of legal documents, reading and comprehension of contents, sorting and categorizing document types based on the case matter type.
  • Experience handling, lifting, and moving boxes of legal files independently.
  • Experience working as a receptionist and answering telephone calls from the public, providing information to the public and other County employees including referrals as appropriate.
  • Experience following instructions and working under pressure in a timely, efficient, and proactive manner.
  • Experience handling multiple tasks simultaneously and independently.
