Position Summary : The main duties of the Administrative Assistant are to assist with a variety of administrative support tasks and to also greet visitors and handle incoming calls.

This individual must project a professional company image through in-person and phone interaction as part of reception duties.

Key Responsibilities

Essential Duties and Responsibilities :

  • Provide administrative support for various executives and managers which includes typing, filing, data entry, telephone coverage, scanning projects, copy projects and necessary communications internally and externally.
  • Assists with financial statement preparation, including footing and proofing.
  • Greet guests in a professional, friendly, and hospitable manner.
  • Professionally administers all incoming calls, ensuring phone calls are redirected appropriately. Takes messages when appropriate.
  • Provides callers with information such as company address, directions to the office, company fax numbers, website, and other related information.
  • Opens and closes the lobby area.
  • Receives, sorts and forwards incoming faxes.
  • Schedules meetings, rooms and coordinates calendars as requested.
  • Types memos, correspondence, reports and other documents.
  • Handles reconciliation of monthly billable and non-billable charges such as courier, postage and parking.
  • Arranges for flowers or donations to be sent for various occasions.
  • Signs and distributes package deliveries.
  • Coordinates travel reservations for multiple people with various requirements.
  • Assists with overflow work from other administrative assistants.

Skills, Knowledge and Expertise

Education, Experience, and Other Qualifications :

High school graduation, or its equivalent, plus three years minimum administrative experience. Education and experience requirement may be met with any equivalent combination that provides the required knowledge, skills, and abilities.

Prior professional services firm experience helpful.

  • Ability to organize, prioritize, meet deadlines, multi-task, and proof work.
  • Proficiency in maintaining focus within a dynamic work environment.
  • Ability to work overtime when necessary.
  • Advanced computer skills, including expert Microsoft Office skills (Word, Excel, Outlook).
  • Excellent telephone and verbal communication skills.
  • Solid word processing and data entry skills.
  • Demonstrates professionalism and accountability. Must have a high level of interpersonal skills to handle sensitive and confidential matters.

Must be able to interact and communicate with individuals at all levels of the organization.

  • Ability to work as part of a cohesive team and independently on assigned tasks as well as to accept direction on given assignments.
  • Intermittent physical activity including bending, reaching, lifting, standing and prolonged periods of sitting; may have to lift and / or move up to 50 pounds.

Environment Description - Work Location and Expected Travel : Work environment is exclusively within the Meaden & Moore corporate office and no travel is expected with this position.

Position requires sitting for extended periods of time. Some overtime may be required.
