Position Summary

MassHousing is seeking a qualified individual for the role of a Human Resources (HR) Representative reporting to the Senior Human Resources Generalist. The HR Representative is a member of the agency’s HR team and is responsible for providing Human Resource Management support to the MassHousing mission. The HR Representative provides clerical, administrative, and technical support for the cross-collaborative unit and performs administrative duties related to the operations of the human resource department.

The ideal candidate should possess a commitment to the mission and have a track record of success in an administrative support role, with a strong attention to detail. Candidates should have experience providing administrative support to cross functional teams. Candidates must be able to maintain confidentiality, work well under pressure, manage multiple projects simultaneously, and thrive in a fast-paced environment.

This is an exciting opportunity for a highly motivated and organized individual to join a dedicated team.

Specific Duties and Responsibilities

  • Serve as a core point of contact for a busy Human Resources department; provide clerical support to the HR department. Expected to be on site in the office four days a week and remote one day a week (on Fridays).
  • Answer and field inquiries from internal and external contacts including applicants, employees, former employees, etc.
  • Schedule and organize appointments such as interviews and trainings.
  • Processes, receives, sorts, and distributes a variety of correspondence, deliveries, and mail.
  • Act as a liaison between the organization and external benefits providers and vendors.
  • Assist with planning and execution of events including but not limited to training, new hire orientation, benefits enrollment, organization-wide meetings, employee engagement and employee recognition events.
  • Serve as HR programmatic back up, for a variety of administrative processes, to ensure ongoing operations of the unit.
  • Proofreads and types documents and correspondence produced by department.
  • Assist in composing, organizing, and editing employee handbook and manuals.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform data entry into HRIS (Kronos/UKG Dimensions) with strong attention to detail and accuracy.
  • Prepares, reviews, and/or processes a variety of routine correspondence, reports, logs, information, paperwork, invoices, forms, agreements, flyers, brochures, invitations, and/or other related information in assigned area of responsibility; keys information into applicable spreadsheets and/or databases.
  • Perform other duties and special projects as assigned.

Knowledge, Skills and Abilities Required

  • Ability to communicate effectively with others both verbally and in writing.
  • Ability to work efficiently both independently and with others and follow written and oral instructions.
  • Ability to exercise discretion while handling confidential information.
  • Ability to provide written and oral instructions in a precise and understandable manner.
  • Ability to organize, coordinate, and synthesize information and documents.
  • Ability to identify problems and issues, and problem solve effectively.
  • Strong communication and interpersonal skills.
  • Ability to prepare materials in Microsoft Word, Excel and use systems of communication including Outlook, Teams and/or Zoom.
  • Strong focus on customer service.

Preferred Qualifications

  • Proven success in a project coordination role.
  • Highly organized & detail oriented.
  • Strong project reporting skills.
  • Thorough understanding of the best HR policies, practices, and procedures.
  • Understanding of Federal, State, and local employment and benefits laws and regulations.
  • Experience with KRONOS/UKG HRIS systems.
  • Fundamental knowledge of HR practices and an interest in developing a career in HR.
  • Ability to quickly learn new technology systems.
  • At least three years of equivalent work experience in Human Resources/Customer Service.

Minimum Education and Training

  • Applicants must have at least an Associate’s degree (or equivalent work experience) and three years of related work experience.

Salary Range: $59,336 to $74,170
