Job Summary:

The Accounts Payable Specialist is responsible for activities in the accounts payable function. They ensure timely processing and payment of vendor invoices and expense vouchers and maintain accurate records and control reports. The Accounts Payable Specialist enforces company policies when it comes to use of Purchase Orders and Delegation of Authority for approval of company expenditures. They review applicable accounting reports and accounts payable register to ensure accuracy.

Duties/Responsibilities:

• Handles accounts payable activities including, but not limited to, invoice and expenses, report processing, responding to vendor inquiries, cash disbursement, handling exceptions (such as voiding/re-issuing check, posting stop payments with banks, and etc.), and other system and banking needs.
• Assists in the month-end accounting close process including AP reconciliation, preparation of AP accrual and AP reports to management.
• Contributes to analyzing supplier aging and reconciliation. Resolves any differences for unrecognized balances.
• Analyzes the certain expense GL accounts used for invoice and expense reporting processing for accuracy.
• Assists in periodic filings of statutory reports, such as 1099, local Use and Sales Tax, unclaimed property, etc.
• Performs other related duties and ad hoc assignments as required.
• Assists with internal/external audits.
• Other special projects as assigned.

Required Skills/Abilities:

• Strong analytical and problem-solving skills
• Sound understanding of accounting principles
• Effective communication skills, both verbal and written
• Ability to organize and prioritize job responsibilities to meet deadlines in an environment with overlapping and potentially conflicting priorities
• Proficient in Microsoft Outlook, Excel, and Microsoft Dynamics Great Plains

Education and Experience:

• 3 years of experience in accounts payable and/or accounting experience in a midsize company environment preferred
• Associate’s degree (or higher) in Accounting or related field

Physical Requirements:

• While performing the duties of this job, the employee is regularly required to speak clearly and hear. Must be able to sit for long periods of time. Standing and walking are necessary. Must be able to lift items up to 15 lbs. Specific vision abilities required by this job include close vision, distance vision, and peripheral vision.
