POSITION DESCRIPTION
La Cheim Behavioral Health Services is a client-centered, trauma-informed, strengths-based, diversity-valuing organization. The candidate will welcome and facilitate ongoing communications between clients, staff and visitors via phone, email, zoom, in person, and client data collection and entry.
RECEPTIONIST RESPONSIBILITY
· Welcome new and enrolled clients and visitors; help to orient as needed;
· Answer outside phone calls, answer questions and redirect as necessary;
· Act as liaison and central contact person for clients and staff;
· Track client attendance, and follow up unexplained absences with call to help ensure client safety;
· Update clinical staff as needed with details of unexplained or unexpected client absences or lateness;
· Assisting virtual clients via email and telephone with daily registration;
· Facilitate connection and communication between clients and staff; including connecting client to appropriate BHS provider in situations of client dysregulation and emergency;
· Offer client support as needed, through virtual chat rooms, phone or in person;
· Retrieve and distribute electronic & paper faxes to the appropriate recipient;
· Other related duties as assigned.
· Collaborate with the La Cheim facilities manager on building/property upkeep, welcome vendors and contractors for on-site work.
· Assist other administrative staff in times of need and be able to cover staff in their absences.
DATA COLLECTION AND ENTRY RESPONSIBILITIES
· Create Electronic Health Record (EHR) file for each new client;
· Input client data received from Admissions Specialists into client EHR and/or distribute to appropriate staff;
· Input client intake paperwork and medical records (received via Formstack) into client’s EHR;
· Enter psychiatric staff log information into client’s EHR;
· Open and update daily group note sessions in EHR for every active client for staff input;
· Update the Daily Attendance Record (DAR) to reflect client attendance, schedules, caseload assignments and potential new clients
· Other related duties as assigned.
QUALIFICATIONS
· Mature, hospitable, professional demeanor;
· Excellent communication skills;
· Ability to remain calm under pressure and to handle multiple interruptions;
· Comfortable working with people with mental illness in a consistently respectful manner;
· Cultural competency and sensitivity;
· Good attention to detail;
· Familiarity and competence with basic office software (email, Excel, Word…) and equipment (phones, faxes, computers, copiers…);
· Well organized and good time management skills;
· High School Diploma or GED; Some college.
· Valid California Driver’s License and Automotive Insurance;
· Criminal Record Clearance;
· Medical and TB Clearance.
· On-site expectations 5 days per week at Oakland location
· Must provide cover letter to be considered for position.
